Job Summary
Toronto Hyundai is looking for a professional, friendly, and organized Receptionist to join our team on a maternity leave contract.
As the Receptionist, you will be the first point of contact for our customers, visitors, and callers. You will play an important role in creating a welcoming customer experience while supporting the day-to-day administrative operations of the dealership.
We are looking for someone who is confident, approachable, detail-oriented, and comfortable working in a fast-paced setting. The ideal candidate enjoys interacting with people, takes pride in providing excellent customer service, and is always willing to lend a hand to support the team.

What You'll Do
Customer Service & Reception
- Welcome customers and visitors promptly with a friendly and professional attitude.
- Determine the purpose of each visit and direct customers to the appropriate department or team member.
- Provide information and assistance to customers while ensuring a positive dealership experience.
- Respond to general dealership inquiries and connect customers with the appropriate employee or department.
- Maintain a clean, organized, and welcoming reception area.
- Keep the customer beverage station clean, organized, and fully stocked.
- Remain attentive and available at the reception desk during scheduled hours.
- Provide professional and courteous service to customers, visitors, and employees.
- Be available to work within dealership retail hours, including evenings and weekends when required.
Telephone & Communication
- Answer incoming calls promptly and professionally.
- Direct callers to the appropriate department or employee efficiently.
- Minimize hold times and ensure callers receive timely assistance.
- Take accurate and detailed messages, including the caller's name, phone number, reason for calling, and other relevant information.
- Relay messages promptly to the appropriate employee or department.
- Monitor and respond to dealership voicemail as required.
- Handle customer concerns and difficult calls with patience and professionalism, escalating matters to management when appropriate.
- Maintain the dealership's telephone system, including employee names, extensions, and related information.
- Keep employee extension lists and telephone information up to date.
Administrative & Dealership Support
- Provide general administrative and clerical support to management and dealership departments.
- Complete data entry and maintain accurate customer and dealership information.
- Maintain organized electronic and physical filing systems.
- Prepare, scan, print, photocopy, distribute, and organize documents and correspondence.
- Sort and distribute incoming mail, courier deliveries, and other correspondence.
- Prepare outgoing mail and courier packages as required.
- Monitor and order office and reception supplies.
- Ensure printers and photocopiers are stocked and operational.
- Coordinate equipment and printer service requests with IT or service providers.
- Update dealership signage, including directional, promotional, hourly, and event signage.
- Assist with sales administration tasks such as stocking in new vehicles, creating service orders, updating MTO receipts, and uploading required documentation.
- Process after-hours Service customer cashouts when required.
- Issue gift cards in accordance with management direction.
- Coordinate dealership pickups and drop-offs, including supplies and vehicles.
- Assist with coordinating wholesale and rental vehicle pickups with Sales Managers.
- Support reception scheduling and shift coverage when required.
- Monitor employee time-off schedules and update management calendars.
- Coordinate lunches, catering, meetings, and other dealership events.
- Assist with general facilities coordination and the smooth operation of the dealership.
- Take on additional administrative responsibilities and special projects as assigned by management.
Employee Events & Social Committee This position will also play an active role in supporting our employee culture and engagement initiatives, including:
- Actively participating as a member of the dealership's Social Committee.
- Assisting with the planning, organization, and setup of employee events and dealership functions.
- Supporting employee engagement initiatives and special events.
- Managing and updating the Social Committee Instagram account as required.
- Helping create a fun, positive, and engaging workplace environment.
