Position: Gas Station Manager

1. POSITION SUMMARY

The Gas Station Manager is responsible for the overall day-to-day operation, management, profitability, safety, customer service, and regulatory compliance of the Esso gas station and convenience store. The Manager is responsible for ensuring the station operates efficiently and professionally, including fuel sales, convenience-store operations, inventory management, employee supervision, cash handling, equipment and facility maintenance, vendor coordination, health and safety, security, customer service, and compliance with all applicable company, Esso, municipal, provincial, and federal requirements.

The Manager must ensure that all station operations are conducted in accordance with applicable Esso/Imperial Oil operating standards, policies, procedures, branding requirements, and business practices.

1. KEY RESPONSIBILITIESA. Overall Station Operations

- Manage and oversee all day-to-day operations of the gas station and convenience store.
- Ensure the station is clean, organized, properly staffed, and operating efficiently at all times.
- Open and close the station in accordance with established procedures.
- Ensure fuel pumps, dispensers, POS systems, payment terminals, cash registers, store equipment, lighting, signage, refrigeration, and other equipment are functioning properly.
- Monitor overall station performance and identify operational issues requiring corrective action.
- Ensure all employees follow company policies, operating procedures, and customer-service standards.
- Act as the primary point of contact for operational matters involving employees, customers, vendors, contractors, service providers, and management.

B. Fuel Operations
- Oversee daily fuel operations and ensure proper operation of all fuel dispensers and related equipment.
- Monitor fuel deliveries and ensure deliveries are received, verified, and recorded accurately.
- Coordinate with fuel suppliers and delivery drivers regarding deliveries and operational requirements.
- Verify fuel quantities, grades, pricing, and delivery documentation.
- Monitor fuel inventory and investigate discrepancies, losses, or unusual variances.
- Perform or oversee daily fuel reconciliation and inventory reconciliation.
- Monitor underground tank levels and fuel inventory using applicable tank-monitoring systems.
- Report fuel leaks, spills, equipment failures, alarms, or environmental concerns immediately.
- Ensure proper procedures are followed during fuel deliveries and emergency situations.
- Maintain required fuel records and documentation.

C. Convenience Store Operations




- Manage all convenience-store activities, including merchandise sales, pricing, promotions, stocking, displays, and customer service.
- Maintain appropriate product levels and ensure shelves, coolers, freezers, and displays are properly stocked.
- Monitor product expiry dates and remove expired or damaged merchandise.
- Ensure pricing and promotional signage is accurate and current.
- Manage high-value, controlled, age-restricted, or regulated merchandise in accordance with applicable laws and company procedures.
- Monitor product shrinkage, theft, damage, and inventory discrepancies.
- Ensure the store maintains appropriate cleanliness and presentation standards.

D. Point-of-Sale (POS) & Business Software
- Operate and supervise the station's POS and retail-management systems.
- Ensure accurate processing of cash, debit, credit, mobile, fleet, gift-card, and other approved payment transactions.
- Monitor POS transactions and investigate unusual or incorrect transactions.
- Use applicable Esso/Imperial Oil systems and software required for station operations.
- Use fuel-management, fuel-reconciliation, inventory-control, and reporting systems.
- Use back-office management software, including systems such as Engauge/MVP Engineering, where applicable.
- Maintain and use Bulloch POS integration and related retail systems, where applicable.
- Maintain QuickBooks or other approved accounting-system integrations for financial and accounting records, where applicable.
- Use inventory-management and purchase-order systems to monitor merchandise and fuel inventory.
- Review daily, weekly, and monthly sales and operational reports.
- Maintain appropriate user access, passwords, security procedures, and system controls.
- Coordinate with software providers and technical-support teams when troubleshooting or resolving system issues.

E. Cash Management & Financial Controls
- Maintain strict control over cash, cash registers, safe funds, deposits, and payment transactions.
- Conduct or supervise cash counts and register reconciliation.
- Review daily sales and cash reports.
- Investigate cash shortages, overages, transaction errors, refunds, voids, discounts, and unusual transactions.
- Prepare deposits in accordance with company procedures.




- Ensure deposits are secure and completed on schedule.
- Maintain accurate records of cash and financial transactions.
- Assist ownership/management with budgeting, forecasting, financial reporting, and expense control.
- Monitor station profitability and identify opportunities to improve operating performance.

F. Inventory Management
- Manage fuel and convenience-store inventory.
- Conduct regular physical inventory counts and cycle counts.
- Compare physical inventory against POS and accounting records.
- Investigate inventory variances and shrinkage.
- Prepare and place product orders based on sales trends, inventory levels, promotions, and anticipated demand.
- Receive, verify, and properly store merchandise.
- Check invoices against deliveries and report discrepancies to suppliers and management.
- Maintain appropriate stock levels while minimizing excess inventory and product loss.

G. Employee Management
- Recruit, interview, hire, train, schedule, supervise, and evaluate station employees, as authorized by ownership/management.
- Prepare employee schedules to ensure adequate coverage during all operating hours.
- Monitor attendance, punctuality, performance, and workplace conduct.
- Train employees on POS systems, cash handling, fuel operations, customer service, cleaning, safety, emergency procedures, and company policies.
- Ensure employees understand and comply with applicable age-restriction and identification-verification requirements.
- Assign daily tasks and monitor completion.
- Address employee performance and operational issues promptly.
- Maintain appropriate employee records and communicate staffing matters to management.
- Ensure employees receive required workplace training.

H. Customer Service
- Maintain a high standard of customer service throughout the station.
- Respond professionally to customer questions, complaints, concerns, and requests.
- Resolve customer issues where possible and escalate significant matters to ownership/management.
- Monitor customer experience and station appearance.
- Ensure employees interact with customers professionally and respectfully.
- Handle customer complaints regarding fuel purchases, store purchases, pricing, payment issues, or other station services.
