Intake Coordinator
Pay: $20-$23/hr.
Teamworks Career Centre is looking for an Intake Coordinator to support client intake, pre-screening, follow-up and recruitment activities.
This is a busy role with a lot of phone calls, detailed processes, data entry and intake targets. You will often be one of the first people a potential client speaks with, so being able to make people feel comfortable while gathering the information we need is important and provide Career Coaches with a clear handoff for the next stage.
Every day has processes to follow, but not every situation fits perfectly into a box. You need to be able to ask questions, think critically, and know when to ask for direction.
Responsibilities and Duties:
- Stay on top of incoming intakes by reaching out to potential clients, following up and booking appointments in a timely manner
- Meet with clients in person to gather the information needed to review program eligibility
- Explain programs, requirements, next steps and available opportunities
- Review and apply program eligibility requirements during t20he intake process
- Complete intake paperwork, assessments and documentation
- Enter and maintain accurate client information in Mobius and other systems
- Pass relevant information and observations on to Career Coaches for the next stage
- Support recruitment activities including resume screening, interviews and reference checks
- Assist with job fairs, outreach and other program recruitment activities
- Maintain current knowledge of programs and basic local labour market information
- Work independently while contributing to a positive and supportive team environment
Qualifications:
- Proven experience or education in HR, Human Services, Career Development or Social Work
- Comfortable making frequent phone calls and speaking with a wide range of people
- Able to guide an interview, ask clear follow-up questions and keep conversations on track
- Comfortable working toward intake goals and helping programs meet their targets
- Able to work with multiple programs and teams, each with different requirements and priorities
- Able to read, understand and apply detailed program guidelines, policies and eligibility requirements
- Robust written and verbal communication
- Strong attention to detail and accurate data entry
- Able to follow established processes and documentation requirements
- Strong critical thinking and problem-solving skills
- Able to manage competing priorities, deadlines and follow-ups
- Takes initiative and follows through
- Comfortable asking questions, receiving feedback and continuing to learn
- Able to follow established processes while recognizing when a situation needs further discussion
- Works well independently and as part of a team
Assets:
- Experience with Mobius or similar databases
- Experience reading or working with contracts, policies,
government-funded programs or detailed guidelines
- Experience with interviewing, recruitment or client intake
- Knowledge of the local labour market
What to Expect: The Intake Coordinator is often the first step in a client's experience with Teamworks.
Your role is to have a good conversation, gather the information we need, explain the process clearly and make sure the Career Coach has a strong handoff for the next stage.
Our programs have specific eligibility requirements and processes, so accuracy matters. At the same time, every person's situation is a little different. We need someone who can listen, ask follow-up questions and use critical thinking without making assumptions or promises about what the final outcome will be.
