We have an immediate opening for an experienced Legal Assistant. The successful candidate will work as part of a team supporting two Associates and one Partner in a busy employment and labour litigation practice. Applicants must possess a Legal Assistant diploma from a recognized legal program and a minimum of three (3) years of experience in civil litigation.
Experience in employment law is considered a strong asset. A Law Clerk diploma or certificate is also considered an asset. The successful candidate must demonstrate a strong work ethic and be collaborative, analytical, adaptable, proactive, and detail-oriented, with the ability to work effectively in a fast-paced setting.
Responsibilities:
- Provide executive-level administrative support to lawyers and enhance office effectiveness.
- Prepare, transcribe, edit, format, revise, and proofread correspondence, memoranda, reports, pleadings, motion materials, mediation briefs, court documents, forms, and other legal documentation.
- Answer and direct phone calls and maintain professional communication with clients, opposing counsel, court staff, experts, and third parties.
- Assist lawyers in the preparation and coordination of hearings, motions, mediations, discoveries, pre-trials, conferences, and trials.
- Schedule and coordinate examinations for discovery, mediations, expert witnesses, court appearances, and other litigation-related events.
- Book and coordinate court appearances, conferences, and hearings, including preparing and filing the required materials.
- Record, monitor, and diarize court appearance dates, pleadings, filing requirements, limitation periods, deadlines, and other critical dates.
- Maintain lawyers' calendars and ensure all meetings, appointments, litigation deadlines, client activities, and important events are accurately scheduled and tracked.
- Coordinate the service and filing of court documents through CaseLines, OCPP and other applicable filing platforms.
- Manage and continuously update client file trackers, ensuring all files are progressing efficiently and that lawyers are aware of key developments and outstanding tasks.
- Proactively monitor files, follow up on outstanding matters, and bring important events, deadlines, and information to the lawyer's attention.
- Maintain an in-depth knowledge of legal terminology, court rules, procedures, and labour and employment law terminology, where applicable.
- Liaise with the Accounting Department regarding billing, accounts, retainers, and client-related financial matters.
- Prepare and submit expense reports for lawyers.
- Maintain lawyers' contact lists and ensure clients' information is current and accurate.
- Organize and maintain electronic and physical files in accordance with firm procedures, ensuring confidentiality, accuracy, and accessibility at all times.
- Ensure all file activities, communications, deadlines, and updates are accurately recorded in the firm's practice management systems.
Required skills:
- Proven experience as a Senior Legal Assistant in a fast-paced litigation environment.
- Minimum three (3) years of experience working in a law firm, with a strong focus on civil litigation, particularly employment and labour litigation.
- Legal Assistant, Law Clerk, or equivalent legal education and training.
- Thorough understanding of legal procedures, court protocols, and litigation processes in Ontario.
- Strong working knowledge of legal terminology, document preparation, and the Ontario Rules of Civil Procedure.
- Exceptional written and verbal communication skills, with a high level of proficiency in English.
- Superior attention to detail, with advanced word processing, proofreading, editing, and document formatting skills.
- Outstanding organizational and time-management skills, with the ability to prioritize competing deadlines and manage a high-volume workload.
- Fast and accurate typing skills, combined with meticulous attention to detail.
- Ability to work effectively under pressure, manage multiple priorities, and consistently meet strict deadlines.
- Highly self-motivated, proactive, and capable of working independently with minimal supervision.
- Professional and client-focused approach, with the ability to build and maintain strong client relationships.
- Strong interpersonal skills, a collaborative team-oriented attitude, and the ability to work effectively with lawyers, staff, clients, and external stakeholders.
- Advanced proficiency in Microsoft Office, Outlook, GhostPractice, and Clio. Experience with Clio is considered a significant asset, as the firm will be migrating to Clio in the new year.
- Strong knowledge of electronic filing procedures, including CaseLines, One-Key, and relevant court filing platforms.
- Demonstrated ability to maintain the highest level of discretion, professionalism, and confidentiality.
- Ability to proactively manage lawyers' calendars, litigation deadlines, court appearances, limitation periods, and file progression to ensure matters are handled efficiently and on time.
- Strong problem-solving skills and the ability to anticipate issues, take initiative, and follow matters through to completion.
- Hours of work are from 9 am to 5:30 pm.
Job Types: Full-time, Permanent Pay: $65,000.00-$75,000.00 per year
