Salary: Up to $120K (Based on Experience)
Key Responsibilities
- Oversee day-to-day office operations to ensure efficient workflows, professional standards, and an organized work environment.
- Manage office supplies, equipment, furniture, vendors, service contracts, renewals, and related costs.
- Maintain organized physical and electronic filing systems in compliance with Law Society record-keeping and confidentiality requirements.
- Support accounts payable, including invoice processing and coordination with accounting.
- Serve as the primary liaison with IT providers and legal software vendors,
coordinating troubleshooting, upgrades, and ongoing support.
- Coordinate onboarding logistics, including workstations, system access, email, and legal software.
- Coordinate internal CPD sessions, staff meetings, training, memberships, subscriptions, and professional affiliations.
- Oversee reception and records functions, ensuring a professional, welcoming, and client-focused environment.
- Maintain consistent client service standards and handle sensitive or escalated inquiries with discretion and confidentiality.
- Coordinate meeting rooms, client appointments, and internal and external firm events.
- Provide guidance and support to administrative staff, promoting collaboration, accountability, and best practices.
- Assist partners and firm management with operational, administrative, strategic, and special projects.
- Contribute to continuous improvement of office procedures, workflows, and administrative systems.
Qualifications
- 5+ years of experience in office administration or operations, preferably in a legal setting.
- Strong organizational, time-management, and problem-solving skills with the ability to manage multiple priorities.
- Proven leadership and communication skills, with experience supporting administrative teams and providing exceptional client service.
- Proficiency with Microsoft Office, legal software, and technology systems, with the ability to coordinate with IT and external vendors.
- High level of professionalism, discretion, attention to detail, and knowledge of confidentiality and legal administrative requirements.
