Role Overview
We are looking for a dynamic and adaptable Marketing Representative & Administration to lead day-to-day marketing initiatives and provide administrative and sales support directly to the President. In this versatile position, you will drive brand visibility across our residential developments, guide home buyers through selections and administration, and support sales operations in a fast-paced environment where priorities regularly evolve.
Compensation & Benefits
- Salary Range: $50,000 – $60,000 per year (commensurate with experience)

- Schedule: Standard daytime hours, Monday to Friday, with periodic weekend availability for model home events, and client showings.
Key Responsibilities 1. Marketing & Brand Promotion
- Plan, create, and schedule content across all Birchwood Homes social media channels.
- Promote new subdivisions, listings, model homes, and the presentation centre.
- Organize and run model home openings, realtor networking events, and promotional activities.
- Maintain and update website content, marketing collateral, floor plan brochures, and professional photography.
- Manage outgoing communications to realtors, prospective home buyers, and existing clients.
- Coordinate with external marketing vendors,
graphic designers, photographers, and media partners.
- Track lead generation and campaign performance, presenting regular analytics reports to the President.
- Place, monitor, and maintain all on-site signage across subdivisions and model sites.
2. Sales & Design Support
- Promptly follow up on incoming phone and email sales leads and coordinate with external realtors.
- Assist prospective buyers with home pricing, subdivision options, and floor plan selection.
- Conduct private showings for prospective buyers and maintain in-depth knowledge of local community features (schools, utilities, tax rates, amenities).
- Guide clients through design selections, add-ons, and upgrade pricing.
- Draft change orders for selections, track approvals, and secure required signatures.
- Walk model and inventory homes regularly with the Site Superintendent to ensure they remain in 100% presentation condition.
- Gather market comparable, industry statistics, and competitor data to support pricing and sales strategy.
3. Customer Service & Office Administration
- Answer primary inquiry phone lines and manage the general inquiry email inbox.
- Address questions and concerns from current homeowners, including routing warranty-related requests.
- Communicate buyer design selections and approved change orders to the Site Superintendent and suppliers for pricing and accurate material ordering.
- Maintain and audit electronic customer and project files to ensure complete documentation.
- Draft official correspondence and assemble complete closing documentation packages for home buyers.
- Conduct post-closing follow-up with buyers to ensure satisfaction.
- Perform additional administrative duties to support the President as needed.
Requirements & Qualifications
- Licensing & Travel: Valid G Driver’s License and access to a reliable vehicle for site visits, showings, and signage maintenance (Required).
- Education & Experience: Post-secondary diploma/degree in Marketing, Business Administration, Real Estate, or related field preferred. 1–3 years of experience in real estate marketing, home builder sales support, or administrative coordination preferred.
- Technical Skills: Proficiency with social media platforms, Meta Business Suite, graphic design tools (e.g., Canva), MS Office (Word, Excel, Outlook), and CRM/email platforms.
- Key Attributes: Excellent written and verbal communication skills, exceptional organization, robust eye for presentation detail, and the adaptability to pivot priorities seamlessly
