Job Summary
We are seeking a dynamic, highly organized, and patient-focused Medical Office Administrator to join our healthcare team. In this important role, you will help ensure the smooth day-to-day operation of our family medical clinic while providing professional, welcoming, and compassionate service to our patients.
The successful candidate will be responsible for front-desk reception, appointment scheduling, patient registration, EMR management, medical documentation, referrals, billing-related administrative tasks, and communication with patients and healthcare providers.

Key Responsibilities
- Greet patients warmly and professionally at the front desk and assist with check-in and check-out procedures.
- Answer and manage a multi-line telephone system, including appointment scheduling, patient inquiries, and follow-up calls.
- Book, confirm, reschedule, and manage patient appointments efficiently.
- Use Accuro EMR to accurately enter, update, and maintain patient information and medical records.
- Verify Ontario Health (OHIP) coverage and health-card information.
- Maintain accurate and up-to-date patient records while following privacy and confidentiality requirements.
- Process referrals, forms, reports, lab requisitions, and other medical documentation.
- Coordinate referrals, specialist appointments, diagnostic testing, and laboratory orders as required.
- Manage incoming and outgoing faxes, scanning, filing, and electronic documentation.
- Communicate professionally with patients, physicians, specialists, pharmacies, laboratories,
and other healthcare providers.
- Assist physicians and clinical staff with administrative and clinic-related tasks.
- Maintain adequate office supplies and assist with general clinic organization.
- Handle billing-related administrative inquiries and other office duties as required.
- Maintain a clean, organized, and professional reception and administrative area.
- Follow clinic policies, procedures, privacy requirements, and workplace safety standards.
Qualifications & Skills
- Previous experience as a Medical Office Administrator, Medical Receptionist, Clinic Receptionist, or in a similar healthcare environment is preferred.
- Experience working in a family medical clinic or physician's office is an asset.
- Experience with Accuro EMR is strongly preferred.
- Knowledge of OHIP and Ontario health-card procedures is an asset.
- Robust knowledge of medical terminology and healthcare documentation.
- Previous experience with appointment scheduling, patient registration, referrals, and medical records.
- Excellent verbal and written communication skills.
- Strong customer-service and interpersonal skills.
- Ability to operate a multi-line telephone system professionally and efficiently.
- Strong computer skills, including experience with email, scanners, fax machines, printers, and Microsoft Office or similar software.
- Excellent attention to detail and data-entry accuracy.
- Ability to multitask, prioritize responsibilities, and remain organized in a busy clinical environment.
- Professional, dependable, punctual, and positive attitude.
- Ability to maintain strict patient confidentiality and handle sensitive medical information appropriately.
- Ability to work effectively as part of a healthcare team.
- Fluency in English is required. Punjabi and Hindi language skills are preferred.
