Oshawa Clinic Group is seeking a highly organized, efficient, and detail-oriented Medical Office Assistant (MOA) to join an established family practice on a part-time basis.

This is an excellent opportunity for an experienced Medical Office Assistant who enjoys working in a patient-centred environment and takes pride in providing qualified, compassionate, and efficient administrative support.

The successful candidate will work closely with a Family Physician and play an important role in supporting the day-to-day operations of the practice. The MOA will serve as a key point of contact for patients while helping ensure the clinic operates smoothly and efficiently.

KEY RESPONSIBILITIES

- Serve as the first point of contact for patients, providing clear instructions, professional communication, and compassionate support throughout their visit.
- Support efficient patient flow and ensure information is communicated accurately to support effective patient care.
- Accurately collect, verify, and update patient demographics, health records, and referral information in applicable systems.
- Schedule, reschedule, and confirm patient appointments by telephone and in person, including office appointments, clinics, and procedures.
- Coordinate new patient intakes and ensure required information and documentation are completed.
- Prepare examination rooms and ensure they are appropriately stocked and ready for patient appointments.
- Perform a variety of administrative duties, including billing assistance, inventory tracking, faxing, scanning, filing, and organizing reports and documentation.
- Process referrals, requisitions, correspondence, and other medical documentation as required.
- Assist with incoming telephone calls, patient inquiries,



and general office communication.
- Maintain accurate and timely patient records and documentation.
- Uphold patient confidentiality and comply with PHIPA and applicable privacy legislation.
- Follow all clinic policies, procedures, professional standards, and workplace health and safety requirements.
- Perform other administrative duties as required to support the physician and clinic team.

QUALIFICATIONS
- Completion of a recognized Medical Office Administration Diploma or equivalent experience.
- Previous experience working in a family practice or primary care setting is preferred.
- Proficiency with Electronic Medical Records (EMR) systems and other computer applications.
- Experience with PS Suite or similar EMR systems is considered an asset.
- Knowledge of medical terminology, procedures, and documentation.
- Strong understanding of and commitment to PHIPA, patient confidentiality, and medical records privacy.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Excellent attention to detail and data-entry accuracy.
- Ability to manage multiple priorities and work effectively in a busy clinical environment.
- Ability to work independently while contributing positively to a collaborative healthcare team.
- Flexible and willing to adjust to changing priorities and operational needs.
- Demonstrated reliability, dependability, and professionalism.
- Must be legally entitled to work in Canada.
- Must be willing to complete all mandatory Oshawa Clinic Group training and onboarding requirements.

SCHEDULE This is a part-time position, with the expected schedule of:

Monday, Tuesday, Wednesday and Friday

Approximately 9:00 a.m. to 4:00 p.m.





Shift times may vary from time to time based on patient volume, physician requirements, and operational needs.

All employees are required to work in compliance with the Occupational Health and Safety Act and its regulations, as well as all applicable workplace policies and procedures.

Employees are also required to comply with PHIPA and applicable privacy legislation, demonstrating a strong commitment to protecting patient confidentiality and personal health information.
