Level Up Wellness Group is a multidisciplinary health hub offering mental health and medical services. We are a sanctuary for individuals seeking help, especially those who have felt let down, unheard, or overwhelmed by traditional healthcare systems.

We are opening a vibrant, brand-new space in Beaumont, Alberta, and we are looking for a dedicated team member who wants to build a long-term career in medical office administration and patient care.

Why This Role Matters

You are the heart of our clinic's daily operations. In this role, you will be the main point of contact for our patients, support our multidisciplinary providers on shift, and keep our physical office space looking clean, welcoming, and skilled.

This is a hands-on role for someone who takes pride in doing things right—from handling sensitive patient calls with deep empathy to keeping administrative details and the clinic environment spotless. As our clinic grows, there is room for wage increases, expanded benefits, and long-term career stability.

What You Will Be Doing

- Patient Care & Advocacy: Warmly welcome patients in person and over the phone. Confidently and empathetically support clients who may be anxious, overwhelmed, or in distress, ensuring every person feels heard, valued, and safe.
- Provider Support & Scheduling: Coordinate appointment schedules and patient matching to keep our providers' shifts running smoothly across different rotation hours.
- Clinic Environment & Presentation: Take pride in maintaining the overall look, clean aesthetic,



and welcoming feel of our new Beaumont clinic (reception, waiting area, and common spaces).
- Medical Office Administration: Handle client check-ins, verify insurance coverage, process billing and payments accurately using JaneApp, and manage digital records.
- Stakeholder Liaison: Assist in transparent, professional communication between external contract partners, providers, and our internal team.

What We Are Looking For

- Career-Minded: Looking for a long-term professional home in medical administration and patient relations.
- Experience: 2–3+ years in a medical, clinical, or wellness office environment.
- Empathy & Composure: A natural ability to remain calm, kind, and professional when interacting with distressed or anxious clients.
- Attention to Detail: High standards for administrative accuracy, record-keeping, and office tidiness.
- Tech Skills: Familiarity with Electronic Medical Record (EMR) software like JaneApp and task tools like Asana (or ability to learn quickly).
- Shift Availability: Commitment to working rotating evening and weekend shifts to support our providers and patients across all operating hours.
- Location: Reliable transportation to our physical clinic in Beaumont, AB.
