Job Summary The NSC Coordinator manages the day-to-day driver compliance and documentation function for the NSC department. The role owns driver onboarding and offboarding, compliance tracking (MVI, insurance, PM, driver’s licence, and TDG), POD processing, driver payroll support, and audit-ready recordkeeping in Excel, SharePoint, and TruckRight, and is the first point of contact for routine driver inquiries. This is one of two NSC Coordinator positions in the department: this role focuses on driver administration, while the other NSC Coordinator focuses on fleet administration, and the two areas are kept separate.

To keep the department covered, both NSC Coordinators are cross-trained so each can step in for the other during absences or peak periods. The role also keeps TT dispatch updated on trailers out for repair. The ideal candidate is a strong communicator and a solution seeker who manages problems as they come up, bringing practical fixes rather than waiting to be told.

Attention to detail, reliable follow-up, and comfort working across departments are essential.

Responsibilities

- Maintain and monitor driver compliance records, including MVI (Motor Vehicle Inspection), insurance, preventive maintenance (PM), driver’s licence, and TDG certification, using Excel and SharePoint.
- Track and follow up on expiring documents to ensure continuous regulatory compliance.
- Manage new driver onboarding and existing driver offboarding — prepare, review, scan, upload,



and file required documentation so driver profiles and records are complete and up to date.
- Ensure all required driver paperwork is submitted accurately and on time.
- Maintain systematic filing to support audits and recordkeeping standards — documents scanned, labelled, uploaded to the correct SharePoint driver profile, and filed in the physical driver folder.
- Prepare and print driver and operational paperwork, including logsheets, maintenance documents, PM sheets, Loblaws sheets, daily sheets, TONU forms, and manifests retrieved from TruckRight.
- Organize, collect, and process Proof of Delivery (POD) documentation on a bi-weekly basis.
- Scan and retrieve POD documents upon request from internal stakeholders.
- Administer bi-weekly cheque distribution to drivers in a timely and accurate manner, reviewing driver compliance records beforehand and noting any outstanding documents on the cheque envelope.
- Prepare diesel reimbursement documentation and attach it to drivers’ diesel cheques for reference.
- Maintain and update monthly driver kilometre (KM) records in Excel.
- Provide administrative support for TDG testing and certification, including preparing test materials, completing and laminating TDG cards, and updating driver records.
- Respond to routine driver inquiries and direct them to the appropriate department, including payroll, work orders, diesel reimbursement, and other operational matters.
- Keep Tractor-Trailer Dispatch Team updated on the status of trailers out for repair,



checking in with the fleet-side NSC Coordinator and the Mechanic Shop so units don’t go quiet once they’re in the shop.
- Cross-train with the fleet-side NSC Coordinator and provide backup coverage for fleet administration duties when needed, including maintenance follow-up with mechanics, GPS tracking, parts quotes and ordering, inventory, and PO sheet tracking.

Skills & Qualifications

- Strong attention to detail and organizational skills.
- Knowledge of transportation regulations and compliance requirements (NSC standards preferred).
- Effective communication skills for coordinating with drivers, dispatch, the fleet-side NSC Coordinator, the shop, and internal teams.
- Strong problem-solving skills with a solution-focused approach — able to manage issues as they come up and bring practical fixes.
- Willingness to cross-train and cover fleet administration duties when needed; prior experience in a coordination or cross-department role is an asset.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and document management tools.
- Ability to manage repetitive administrative tasks with accuracy and consistency.
- Time management skills with the ability to meet recurring deadlines.
- Great typing skills.

Pay: $22.00-$23.00 per hour
