We are looking for a reliable, organized, and customer-focused Office Administrator to join our team and support the day-to-day operations of our office.

Job Summary The Office Administrator will be responsible for providing administrative and client-service support to our insurance and investment team. The ideal candidate is highly organized, detail-oriented, comfortable communicating with clients, and able to manage multiple tasks in a fast-paced office setting.

Experience in the insurance, financial services, or professional services industry is an asset, but we are willing to train the right candidate.

Key Responsibilities

- Answer incoming phone calls, emails, and client inquiries in a professional and timely manner.
- Welcome clients and provide a friendly and professional experience in the office.
- Schedule client appointments and maintain calendars for advisors and staff.
- Prepare, organize, scan, and maintain client documents and records.
- Assist with insurance application paperwork and follow up on outstanding documents.
- Coordinate with insurance companies, financial institutions, and other service providers as required.
- Follow up with clients regarding applications, medical requirements, documents, payments, renewals, and other outstanding items.
- Assist with travel and Super Visa insurance documentation and client requests.
- Provide administrative support for life insurance and disability insurance files.
- Assist with investment-related administrative tasks and documentation.




- Enter and maintain accurate client information in company systems and databases.
- Prepare letters, forms, reports, spreadsheets, and other office documents.
- Maintain organized electronic and physical filing systems.
- Process incoming and outgoing mail and other office correspondence.
- Assist with billing, invoices, payments, and general office administration as required.
- Maintain confidentiality of client information and company records.
- Support the team with general administrative duties and special projects.
- Ensure office supplies and day-to-day office requirements are maintained.

Qualifications & Skills
- Previous experience in an administrative, office, customer service, insurance, banking, or financial services role is an asset.
- Strong verbal and written communication skills.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Ability to handle confidential and sensitive client information professionally.
- Comfortable using Microsoft Office, including Word, Excel, and Outlook.
- Ability to learn and use current software and online systems.
- Professional and friendly telephone and email communication.
- Ability to multitask and prioritize competing deadlines.
- Strong problem-solving and follow-up skills.
- Ability to work independently as well as part of a team.
- Fluency in English, Hindi & Punjabi is required.
