Office Assistant
Permanent Part-Time Position (15hrs/week)
Parkland Teachers’ Local No. 10 of the Alberta Teachers’ Association advocates for public education and represents its members while striving for optimal learning and teaching conditions.
Reporting to the Local President, the office assistant coordinates office communications, scheduling and calendar activities; supports administrative operations and assists with budget monitoring and related responsibilities as assigned. Specific duties include but not limited to:
Performing general office duties in support of the efficient operation of the Local office.
Responding to emails, answering and directing telephone calls, preparing correspondence and mail distribution, and greeting clients.
Maintaining the email database, Local documents, filing systems, and accurate records.
Preparing agendas, minutes, and documentation for Table Officers' Meetings, Local Council
Meetings, and other meetings.
Organizing meetings, seminars, and Local events, including the Induction & Retirement Ceremony.
Tracking cheques issued by the Treasurer and Professional Learning Committee (PLC) Grant Applications.
Preparing and distributing posters and promotional materials for Local seminars and events.
Preparing delegate claim forms for the Annual Representative Assembly (ARA) and Summer Conference and preparing the Annual Report for submission to Barnett House.
Operating and maintaining office equipment, completing special projects, and performing other duties as assigned.
Qualifications
Completion of a related certificate and a minimum of three years’ administrative experience. A combination of education and experience may be considered.
Extensive knowledge of established standards of formatting documents, and of composition, punctuation and grammar;
Proficient in the use of Google Workspace, accuracy in keyboarding and proofreading;
Ability to maintain confidentiality;
Excellent communication (verbal and written) and interpersonal skills, including the ability to establish and maintain strong working relationships with others;
Ability to multi-task and effectively prioritize work assignments, as well as work well under pressure within tight, conflicting timelines; and
Demonstrated initiative, problem solving and analytical skills.
Salary: This position offers a competitive starting salary of $18,315 per year plus employer-funded health spending account
Hours of Work: 15 hours per week, Monday to Friday, September to June, except during school breaks where the office is closed.
Work Location: 5008-51 Avenue, Stony Plain, Alberta. Hybrid work options may be available, with flexibility between office and home-based work to be discussed based on operational needs.
