About the Position:

The Office Manager is responsible for the efficient management and operations of customer service and administration activities at the community. The successful candidate will support the General Manager and the rest of the management team in the day-to-day operations of the retirement residence by assisting with payroll, scheduling, accounts receivable and general employee questions.

Roles and Responsibilities:

· Participates as a member of the team and provides support to other team members under the direction of the General Manager

· Oversees, hires and schedules the Resident Concierge team

· Sets up and maintain all Resident Folders and assists the General Manager with onboarding of all new residents

· Handles all queries concerning billings and payments from residents and/or their family members

· Effectively communicates and interacts with residents, family members, visitors and volunteers in a courteous and professional manner

· Assists with the Accounts Receivable Process, including the processing and posting of bank deposits,



processing rent increase letters, communicating credit memos and monthly billing changes to the Accounting department

· Completes movement forms and updates, along with adding all new admission information and adjustments into the accounting software, Yardi

· Provides ADP payroll support to the Managers as needed

· Orders office supplies and manages the petty cash

· Act as a Manager on Duty (MOD) on occasional weekends (as required)

· Assists the General Manager in onboarding all employees while collecting and collating all required employee records and documentation

· Assists employees with a range of HR queries including payroll, benefits, time off requests etc.

· Ensure that all employees complete yearly ORCA training and that the home is compliant with all the necessary regulations

Qualifications:

· Minimum of 2 years of related experience

· Previous experience in a retirement or health care environment considered an asset

· Ability to interact with all levels of staff, residents and their family members, and other professionals with a high degree of patience and tolerance

· Good communication skills (both written and verbal)

· Initiative, good judgment and supervisory abilities

· Good computer skills including proficiency in Microsoft Office with a working knowledge of Excel and Word





· Empathy for and understanding of the needs of the seniors, and passion for working with seniors each and every day

Pay: $50,000.00-$65,000.00 per year
