Position Overview
We are seeking an experienced and high-performing Office Manager to oversee day-to-day administrative, operational, and compliance functions for our growing staffing agency.
The ideal candidate brings proven leadership in a fast-paced recruitment or staffing environment. You will serve as the operational backbone of our office—managing workflows, supporting recruiters, ensuring labour compliance, and maintaining seamless candidate and client onboarding processes.
Key Responsibilities
1. Office & Operational Leadership
- Direct daily office operations, maintaining effective systems, supplies, software, and administrative procedures.
- Manage administrative staff and front-desk reception, ensuring a professional candidate and client experience.
- Serve as the primary liaison with internal leadership, vendors, landlord/building management, and IT support.
2. Staffing & Onboarding Support
- Oversee candidate intake, application processing, background checks, drug screenings, and credential verifications.
- Manage placement logistics, ensuring all candidate deployment paperwork meets client requirements.
- Maintain accuracy across ATS (Applicant Tracking System) and CRM databases.
3. Compliance & Payroll Administration
- Ensure strict adherence to federal, state/provincial, and local labor laws, safety standards, and employment regulations.
- Coordinate weekly payroll processing for temporary, contract,
and internal staff, resolving timecard discrepancies promptly.
- Assist with billing, invoicing, accounts receivable, and basic financial reporting alongside management/accounting.
4. Team Support & Process Improvement
- Support recruiters and account managers with administrative logistics, scheduling, and documentation.
- Identify operational bottlenecks and implement streamlined processes to improve agency productivity.
- Coordinate internal events, client appreciation initiatives, and team meetings.
Qualifications & Requirements
- Experience: 3+ years of office management experience, specifically within a staffing agency, employment firm, or high-volume recruiting environment (Required).
- Software Proficiency: Strong hands-on experience with staffing ATS/CRM software (e.g., Bullhorn, Avionté, TempWorks), payroll platforms, and Microsoft Office / Google Workspace.
- Compliance Knowledge: Deep understanding of employment regulations, I-9/E-Verify processes, worker classifications, and HR compliance.
- Skills: Exceptional communication, organizational, and time-management capabilities with high attention to detail.
- Education: High school diploma required; Bachelor's degree in Business Administration, Human Resources, or related field preferred.
Pay: $50.00-$90.00 per hour
