Calabogie Peaks Hotel and Resort is seeking an enthusiastic, experienced, and proactive OPERATIONS ADMINISTRATOR

Reporting to the General Manager or designated, this position will work with the Controller and department managers and Supervisors across the resort.

SCHEDULE

Weekday-based, with availability to work some (but not all) weekends during the winter and summer peak seasons

POSITION SUMMARY The Operations Administrator (“OA”) ensures that information & electronic data flows daily from the Resort ‘s operations to Accounting. The OA eliminates the need for Management and Accounting to chase gaps.

The position is a support resource to both the General Manager and the Controller. It coordinates information and processes across all operating departments rather than working independently within any one of them. It is the single point of accountability for ensuring that POS revenue data and source documentation reach Accounting completely, accurately, and on time.

The role does not replace the Controller or bookkeeping functions; it enables both to be more effective by taking day-to-day operational administration off their desks.

As operational processes become more consistent, the additional administrative activities below that are currently handled by management will migrate to this role.

ROLE BOUNDERIES

This role is responsible for

- Gathering information and source documentation from operating departments
- Coordinating processes and performing administrative follow-up
- Ensuring cash, point-of-sale,



and documentation processes are followed consistently
- Flagging discrepancies and escalating them to the General Manager or Controller
- Other Tasks and assignments as needed.

QUALIFICATIONS AND ATTRIBUTES

- Organized and deadline-driven — comfortable owning a year-round calendar of filings and tasks
- Strong project coordination and follow-through — keeps multiple seasonal workstreams moving & escalates issues early. Success depends on organizing people & processes — not accounting skills
- Strong attention to detail
- Comfortable with basic technology troubleshooting (hardware, Wi-Fi, report exports)
- Transparent communicator who works effectively with front-line staff, managers & Accounting
- Trustworthy & discreet — maintains confidentiality when handling cash & Resort information
- Driver's licence (bank runs)
- Flexible, hands-on attitude — willing to fill a front-line position when the business needs it.

WORKING CONDITIONS

- Full-time, year-round, on-site position
- Must be available to work some, but not all, weekends during the winter and summer peak seasons
- Mix of office-based administration and active on-property work

DETAILED RESPONSIBILITIES Coordination & Finance Support

- Liaison between the GM, operating departments, and Accounting
- Revenue reports checked for completeness and accuracy
- Source documentation (POS reports, deposit records, certificates of insurance) collected, filed, and available to Accounting
- Operational changes communicated to Accounting (new products, events, closures, process changes)
- Administrative follow-up on outstanding items on a timely basis
- Issue escalation — operational to General Manager, financial to Controller
- Seasonal coordination — winter start-up, summer season, major events

Points of sale - Revenues

- Ensure daily flow of electronic data from points-of-sale into Accounting - troubleshoot as required

Applications

- Maintain master applications spreadsheet
- Ensure reports auto export in approved formats




- IT — hardware and Wi-Fi troubleshooting; liaise with external IT support

Gratuities

- Calculation and distribution

Customer Service

- Respond to inquiries from members, staff, dock renters and utility customers

Cash

- Pick up and drop off at the bank; count & balance cash, roll change
- Monitor and balance safes
- Ski Season - maintain floats & distribute and pick up physical cash at winter points of sale
- Keep ATMs full

Insurance

- Process annual renewal applications
- Maintain authorized drivers list
- Periodic broker communications as required

Marketing & Events

- Obtain municipal special events permits when required
- Obtain or provide certificates of insurance per SOP
- Periodically, provide on-site photography for social media and the website

Winter Hires

- Support winter hiring, electronic document retention, schedule interviews, etc.

Regulatory Filings examples: Water Take Permits - File annual report per SOP

Environmental Report - Submit annual report data to Azimuth Engineering per SOP

Injured at Work (WSIB) - WSIB reporting and claims per SOP

Accessibility (AODA) - File report every 3 yrs per SOP — next due Dec 31, 2026

Ski Lifts (TSSA) - Ensure annual auto renewal of 5 ski lift & elevator licences

Calabogie Utilities - Annual CRTC internet compliance filings

Crown Land Use Permit - Annual MNR licence renewal per SOP

Radio Licences - Annual Industry Canada licence renewal per SOP

Hazardous Waste (MOEE) - Annual renewal Resource Productivity & Recovery Authority

Liquor Licensing (AGCO) - Licence renewals & Special Occasion Permits for events

Fire Code Compliance - Schedule annual fire inspections & records retention

PCI Compliance - Annual PCI DSS self-assessment for payment processing

Miscellaneous

- Winter radio rentals and returns
- Entandem invoice verification
- Issue and track redemption of CP Paper Gift Certificates
- Control key inventory per SOP
- Temporarily cover front customer-facing roles in emergency situations
- Chat bot / AI implementation and support

Pay: $60,000.00 per year
