Job Summary is a growing marketing company working with businesses and brands across Central Alberta. We’re looking for an exceptional Executive & Personal Assistant to work closely with our leadership and help keep both the business and day-to-day life organized, moving and ahead of schedule.
This is not a traditional administrative position.
We’re looking for someone who is highly organized, resourceful, trustworthy and comfortable taking ownership. Someone who can look at a busy week, anticipate what needs to happen and start solving problems before they ever become problems.
The role is a blend of Executive Assistant and Personal Assistant. Some days you may be coordinating meetings, communicating with clients and organizing projects. Other days you may be booking appointments, running an errand, helping prepare for an event or taking something completely off our plate.
The goal is simple: help create more time for us to focus on the things only we can do.
What You’ll Do
Your responsibilities will evolve as Golden grows, but may include:
- Managing calendars, appointments, meetings and schedules
- Helping prioritize tasks and keeping important deadlines from slipping
- Coordinating meetings with clients, partners, vendors and team members
- Managing and organizing emails, messages and follow-ups
- Preparing meeting notes, documents, reports and other materials
- Keeping track of commitments and making sure action items actually get completed
- Helping coordinate marketing projects, content days, events and activations
- Booking travel, accommodations, restaurants and appointments
- Researching businesses, locations, products, vendors and opportunities
- Running occasional personal and business errands
- Coordinating deliveries, pickups, purchases and other logistics
- Helping organize receipts, invoices, documents and administrative information
- Communicating professionally on our behalf when appropriate
- Helping create systems that make both the business and our lives more organized
- Handling confidential business and personal information with complete discretion
- Jumping into unexpected projects and figuring out how to get them done
Who We’re Looking For
You don’t necessarily need years of Executive Assistant experience.
We’re much more interested in finding the right person.
You might be a great fit if you:
- Are exceptionally organized
- Naturally notice details other people miss
- Love checking things off a list
- Are comfortable working independently
- Can take a loose instruction and figure out the next steps
- Communicate clearly and professionally
- Are confident making phone calls and communicating with businesses and clients
- Are comfortable with technology and learn new platforms quickly
- Can manage multiple priorities without becoming overwhelmed
- Are proactive rather than waiting to be told what to do
- Have valuable judgment and know when to make a decision versus when to ask
- Are dependable and follow through on what you say you’ll do
- Understand that confidentiality and trust are essential
- Have a positive attitude and don’t believe any reasonable task is “beneath” them
- Enjoy working in an entrepreneurial environment where things can move quickly

Requirements
- Valid driver’s licence and reliable transportation
- Strong written and verbal communication
- Strong organizational and time-management skills
- Comfortable using email, calendars, documents and common digital tools
- Ability to work independently and manage changing priorities
- Willingness to occasionally travel locally throughout Central Alberta
- Ability to maintain confidentiality with sensitive business and personal information
Experience in executive assistance, administration, project coordination, hospitality, marketing, events or a similar fast-paced environment would be an asset, but isn’t required for the right person.
