Role Description The Secretary to CEO is a full-time, on-site role based in Canada, providing high-level administrative and organizational support to the Chief Executive Officer. This position manages the CEO’s calendar, coordinates meetings, prepares agendas and minutes, and organizes travel and logistics. The role involves drafting and reviewing correspondence, presentations, and reports, while ensuring timely follow-up on action items and maintaining confidential records.
The Secretary to CEO serves as a key point of contact between the CEO and internal and external stakeholders,
supporting board and company secretarial activities and assisting with documentation for projects and partnerships. The role also includes handling general office administration tasks related to the CEO’s office and supporting the smooth flow of information across the leadership team.
Qualifications
- Candidates should possess solid Clerical Skills, including scheduling, document management, and record keeping.
- Candidates should possess excellent Communication skills, both written and verbal, for liaising with internal teams, partners, and stakeholders.
- Candidates should possess experience in Company Secretarial Work, such as preparing board materials, minutes, and corporate documentation.
- Candidates should possess Executive Administrative Assistance experience, including supporting senior leadership and handling confidential information.
- Candidates should possess solid Customer Service skills, demonstrating professionalism, discretion, and responsiveness in all interactions.
- Relevant qualifications include post-secondary education in business administration or a related field, proficiency with office productivity software and collaboration tools, strong organizational and time-management abilities, and prior experience supporting executives in a rapid-paced environment.
