Reporting to the Operations Manager, the Production Administration Manager is responsible for the day-to-day administrative functions related to production floor activities. They will work collaboratively with the Production Operations Manager to ensure employees are properly trained and utilized to meet efficiency and productivity targets.

Key Responsibilities (include but are not limited to):
- Work closely with the Operations Manager, Production Operations Manager, and Production Planner to determine appropriate staffing allocation levels.
- Daily digital timecard review and approval (including breaks of appropriate length)
- Documenting and processing appointment/time off, vacation requests
- Carry out Production employee performance appraisals (information obtained from Production Operations Manager, attendance records, Payroll Administrator)
- Daily documenting and reporting of labour issues (absences, lates, AWOL’s) to payroll administrator
- Develop and execute integrated operational strategies across production, inventory management,
and manufacturing planning.
- Work with the Industrial Engineer to set departmental KPIs and performance benchmarks.
- Assist with capacity planning, and resource optimization to support current and future growth.
- Monitor daily line speeds, labour utilization, yields, downtime, waste and productivity.
People Leadership
- Establish clear expectations for productivity, attendance, quality, safety and conduct.
- Ensure appropriate staffing levels to achieve inventory and productivity demands.
- Train and coach employees on production procedures and work methods.
- Develop employee training and cross training plans for the entire department.
- Ensure that training plans are successfully implemented and proof of competency is documented.
- Deliver new employee, technical, or other document related training for production employees.
- Ensure all production staff are adequately trained in job duties, safety procedures and company policies and the training is properly documented
- Complete OH & S incident or near miss reports, work with Recruitment and Training Co-ordinator to develop return to work plans.
- Work with purchasing to source any personal protective equipment required.
- Address performance issues promptly
- Build a culture of accountability, teamwork and continuous improvement.
- Interview, evaluate and conduct performance appraisals.
- Promptly and quietly investigate all complaints where employees are reported to have not followed company policy. More serious matters need to be reported immediately to upper management.
- Tactfully and professionally address all employee performance, or team conflict related issues including executing and documenting progressive disciplinary action(s) up to and including termination.
Food Safety and Quality
- Communicate any SOPs, SSOPs,
HACCP/SQF requirement applicable regulatory changes impacting Production employees to the Production Operations Manager for dissemination to impacted staffing.
- Work closely with QC when deviations or product-quality issues occur.
- Participate in investigations of quality, yield and process deviations
- Work with Production Operations Manager to ensure corrective actions are implemented and sustained.
- Escalate significant food-safety or quality concerns immediately
- Provide support to the Food safety/QC, HACCP, Recall and Crisis Management teams when situations or issues arise and by ensuring employees are performing production activities as per written requirements
Efficiency & Continuous Improvement
- Identify opportunities to improve labour efficiency, line utilization, yields and throughput
- Participate in capital equipment evaluations and process improvement projects
- Establish and monitor production performance standards
- Reduce waste, rework, downtime and unnecessary labour
- Recommend measures to improve productivity and product quality
Communication
- Facilitate and lead daily meetings between yourself, Production Planning, Production Operations Manager and Supervisors, to ensure all parties are well informed of labour availability.
- Communicate production problems and required actions to Operations Manager.
- Provide accurate production results and explanations for significant variances
- Recommend schedule changes when labour availability would negatively impact planned activities.
- Cover key responsibilities for Production Operations Manager in times of absence.

Qualifications:
- 5+ years of experience in a leadership role (preferably in a food manufacturing workplace)
- Strong analytical and decision making skills
- Excellent interpersonal skills
- Strong computer skills (excel, word), ERP an asset.
- Ability to work independently and collaboratively as part of a team
- Strong organizational skills
Pay: $60,000.00-$70,000.00 per year
