We are looking for a highly organized and proactive Program Coordinator, Student Experience & Operations to help ensure our training programs run smoothly from student onboarding through program completion.
About the Role The Program Coordinator will be responsible for the day to day coordination and operational oversight of our training cohorts.
You will serve as the central coordination point between students, instructors, coaches, and the NWC management team.
Your responsibility is to make sure the program stays on schedule, students are progressing, instructors and coaches are delivering according to plan, communication is properly managed, and potential problems are identified before they become larger issues.
This is not primarily a teaching role. It is a program coordination, student experience, tracking, communication, and accountability role.
Key Responsibilities Program Coordination
- Manage and monitor the training calendar and ensure scheduled activities are delivered according to plan.
- Coordinate classes, coaching sessions, assignments, assessments, simulations, capstone projects, mock interviews, career preparation activities, and other program milestones.
- Maintain accurate program trackers and student progress records.
- Monitor upcoming deadlines, activities, and deliverables across each cohort.
- Identify scheduling or operational issues and coordinate appropriate solutions.
Student Progress & Engagement
- Track the progress of students throughout the program.
- Monitor attendance, assignment completion, assessments, milestones, and overall participation.
- Identify students who are falling behind, disengaging, missing activities, or requiring additional support.
- Conduct appropriate follow ups and coordinate interventions with students, instructors, or coaches.
- Maintain consistent communication with students across NWC’s designated communication channels.
- Ensure students understand upcoming requirements, deadlines, and expectations.
Instructor & Coach Coordination
- Coordinate with instructors and coaches regarding upcoming classes, activities, deadlines, and student requirements.
- Ensure instructors and coaches are following the established program schedule.
- Follow up on outstanding responsibilities and deliverables.
- Identify and escalate scheduling conflicts, student concerns, or program delivery issues when necessary.
Student Experience & Feedback
- Coordinate student check ins at important stages of the program.
- Collect and track feedback following major modules and milestones.
- Monitor recurring student concerns and identify opportunities to improve the student experience.
- Support student engagement, milestone recognition, program completion activities, and graduate follow ups.
Career Development Tracking
- Track student participation in LinkedIn optimization, professional visibility, networking, resume preparation, mock interviews, job readiness, and other career development activities included in the program.
- Follow up with students regarding outstanding career development milestones.
- Coordinate with relevant team members to ensure students receive the appropriate support at each stage.
Reporting & Program Improvement
- Provide regular updates to management on cohort progress and overall program health.
- Maintain visibility into attendance, student engagement, milestone completion, outstanding activities, and students requiring intervention.
- Identify operational gaps and recommend improvements to program processes.
- Escalate significant issues requiring management attention.

- Professional and comfortable working with students from different professional and cultural backgrounds.
Preferred Experience
Previous experience in one or more of the following areas would be beneficial:
- Program coordination
- Training or education operations
- Student services
- Customer success
- Learning and development
- Project coordination
- Cohort based training programs
- Administrative or operations coordination
Experience in Financial Crime Compliance, AML, KYC, sanctions, or financial services is an advantage but not required .
Strong organizational ability, communication skills, accountability, and the ability to manage people and processes effectively are more significant for this position.
What Success Looks Like A successful Program Coordinator ensures that:
- The program calendar is followed.
- Students know what they need to do and when they need to do it.
- Student progress and milestones are properly tracked.
- Students who begin falling behind are identified and followed up with early.
- Instructors and coaches understand and meet their responsibilities.
- Communication between students and the NWC team remains organized and consistent.
- Management has clear visibility into the health and progress of each cohort.
- Problems are identified early rather than discovered after they have affected the program.
Ultimately, you should be able to answer at any point:
Where is each student in the program, what should be happening next, who requires attention, and what needs to happen to keep the cohort on track?
