Program Coordinator - Wood Buffalo Food Bank Association

Fort McMurray, Alberta

Full time, 40 hours per week, primarily 9:00am-5:00pm

Help bring meaningful programs to life in our community The Wood Buffalo Food Bank is looking for an organized, hands-on, and community-minded Program Coordinator to join our team.

This role is all about helping programs run well - from planning and preparation to being right there when they’re delivered. A significant part of the position will support our kitchen programming, along with food drives, community initiatives, and other Food Bank programs.

You’ll work directly with the Executive Director and alongside the broader Food Bank team to coordinate program details, prepare spaces and supplies, support volunteers and participants, and help create programming that is welcoming, organized, and responsive to the community.

There will be behind-the-scenes work too, including maintaining program records and supporting the Executive Director with grant research, funding applications, and reporting as needed.

If you enjoy bringing people together, aren’t afraid to roll up your sleeves, and want to see the direct impact of the work you do, we’d love to hear from you!

What You’ll Do A big part of this role is helping plan, coordinate, and deliver Food Bank programming. You will:

- Support the planning, scheduling, coordination, and delivery of Food Bank programs and initiatives.
- Lead and have an active role in kitchen programs, including program preparation, facilitation, food preparation, setup, and cleanup.
- Help ensure kitchen and program spaces are organized, welcoming, clean, and ready for participants.
- Support safe food handling, sanitation, storage, and kitchen practices.
- Coordinate ingredients, supplies, equipment, materials, and other resources needed for programs.
- Monitor program and kitchen supplies and identify when items need to be replenished.
- Support food inventory and appropriate product rotation for programming.
- Work collaboratively with staff and volunteers to coordinate responsibilities, schedules, and program needs.
- Provide volunteers with clear direction and support during kitchen programs, food drives, and other initiatives.
- Help create a positive and welcoming experience for program participants and volunteers.
- Identify program needs, challenges, or opportunities and bring them forward to the Executive Director.
- Support food drives, community events, fundraising activities, and other Food Bank initiatives.

You’ll also provide some program administration support by:
- Maintaining basic records related to program activities, participation, supplies, and delivery.

- Gathering information needed for program reporting and funding commitments.
- Supporting the Executive Director with program-related documentation and reporting as required.
- Researching grant and funding opportunities that may support Food Bank programs.
- Assisting with grant applications by gathering program information, statistics, and supporting materials.
- Helping with grant and funding reporting requirements when needed.
- Maintaining organized program files, schedules, records, and important deadlines.
- Keeping the Executive Director informed of program activities, needs, and upcoming priorities.

What You Bring We’re looking for someone who is organized and dependable, but also genuinely enjoys being involved in the work. This isn’t a position where you’ll spend every day behind a desk - you should be comfortable moving between planning a program, preparing a kitchen, supporting volunteers, and helping deliver an activity. The successful candidate will have:

- A high school diploma or equivalent is required. Post-secondary education in nonprofit management, social services, community development, business administration, project management, or a related field is considered an asset.
- Experience with food preparation, kitchen programming, food safety, group facilitation, volunteer coordination, grant research, or nonprofit/community programming is also considered an asset.
- Previous experience in program coordination, community programming, food programming, nonprofit services, or a related role.
- Strong organizational, planning, and time-management skills.
- The ability to manage multiple activities and changing priorities.
- Strong interpersonal and relationship-building skills.
- Confidence supporting or facilitating programs and providing direction to volunteers.
- Strong attention to cleanliness, safety, organization, and detail.
- Clear and professional written and verbal communication skills.
- The ability to work independently while taking direction from and maintaining regular communication with the Executive Director.
- Strong problem-solving skills and a willingness to take initiative.
- The ability to work collaboratively with staff, volunteers, program participants, and community partners.
- Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.

- Professional judgment and discretion when working with confidential information.

What to Expect This is a full-time, primarily onsite position at the Wood Buffalo Food Bank, located at 10010 Centennial Dr., Fort McMurray, AB.

The role includes a combination of program coordination, office-based work, and hands-on involvement in kitchen and community programming. Some days may involve preparing for a kitchen program or food drive, while others may include coordinating supplies, supporting volunteers, researching a funding opportunity, or working with the Executive Director on upcoming program needs.

You’ll regularly interact with staff, volunteers, program participants, clients, donors, and community partners. Some individuals accessing Food Bank services may be navigating difficult circumstances, so empathy, professionalism, confidentiality, and respectful communication are important parts of the role.

The position involves regular standing, walking, bending, reaching, food preparation, and other kitchen-related activities. Some lifting and movement of food, supplies, materials, or equipment may be required, up to 50 lbs.

Occasional flexibility in working hours may also be required to support kitchen programs, food drives, events, or other organizational activities.
