- Position Type: Full-Time Contract (approximately 4 years)
- Compensation: $60,000 – $65,000 / year + 3 weeks vacation
- Schedule: Tuesday to Friday from 8:00 a.m. – 8:00 p.m. with core team coverage running from 11:00 a.m. – 7:00 p.m. / Saturday 8:00 a.m. – 4:30 p.m.

POSITION OVERVIEW
Under the direction of the Project Manager/Director, the Project Coordinator will conduct various roles to help manage the quality, production, and general success of the project(s). Acting as a vital communication hub between management and field teams, you will assist with problem-solving, issue resolution, and client engagement to ensure high operational efficiency and customer satisfaction. A significant portion of this role is dedicated to live dispatch operations—managing active field communications, coordinating service schedules, and ensuring real-time operational alignment across our field crews.
Key Responsibilities
Live Dispatch & Field Operations
- Manage high-volume incoming field communications, monitor active crew deployment, and dynamically adjust operational schedules to maintain optimal response times and service efficiency
- Serve as the primary liaison between field technicians and management, promptly relaying schedule adjustments, routing updates, and priority service directives
Logistics & Inventory Management
- Manage warehouse inventory levels and coordinate material shipments with head office
- Coordinate installer pick-ups and drop-offs of materials, equipment, and tools
- Maintain accurate inventory tracking to ensure necessary supplies are consistently available
Field Support & Quality Assurance (QA)
- Provide day-to-day operational support to field staff, supervisors, and project management
- Facilitate field quality assurance (QA) tracking and documentation to ensure adherence to corporate standards and project specifications
- Manage work order tracking systems and maintain accurate operational records within internal software platforms
Customer & Client Coordination
- Respond professionally to customer inquiries and resolve service inquiries effectively
- Document and manage escalated customer feedback and claims
- Engage with clients as required and support project-related communications (e.g., notification letters, door hangers)
- Provide constructive feedback on service delivery and operational hurdles to management
Safety & Compliance
- Strictly follow and enforce all safety requirements and company policies
- Conduct regular inspections, including site and storage area checks, fire extinguisher inspections, and fire drills
Qualifications
- Diploma or degree in a related field (e.g., Business Administration, Project Management, Supply Chain, or equivalent professional experience)
- Demonstrated experience in fast-paced operational coordination environments, such as high-volume dispatch operations, customer support centres, or logistics management
- Previous experience in project coordination, preferably within utilities or a related fast-paced industry
- Proficiency in Microsoft Excel, with strong capability in data management and reporting is required
- Experience leveraging Microsoft Copilot or other AI platforms to streamline workflows and boost productivity is considered a strong asset
- Previous experience or familiarity with field quality assurance (QA) protocols is desirable
- Exceptional communication skills, high attention to detail, and proven ability to manage shifting priorities under pressure
