Sutherland House Books is a fast-growing Canadian independent publisher with a national and international profile. We publish serious nonfiction, history, politics, culture, and literary titles, and we work closely with authors, bookstores, media, and cultural institutions across Canada.

We are seeking a reliable, highly organized Publishing Operations & E-Commerce Support team member to support our e-commerce, publishing operations, print-on-demand systems, metadata, fulfillment, and event activities. This is a hands-on role suited to someone who is detail-oriented, comfortable working across multiple digital systems, enjoys working with physical products, and can keep projects and day-to-day operations organized.

This position will work closely with our marketing and production teams to maintain accurate book information across platforms, support print-on-demand and e-commerce workflows, coordinate shipments and inventory, and assist with the operational requirements of a growing independent publishing company. This is a four-month, full-time contract position.

Full training will be provided at the beginning of the contract. Previous publishing experience is not required, but the successful candidate must be organized, dependable, comfortable learning recent systems, and able to manage detailed processes accurately.

Publishing Operations, E-Commerce & Metadata

- Maintain and update book metadata across internal systems, company websites, e-commerce platforms, distributors, and online retailers
- Upload and manage book information across company websites, including product descriptions, cover images, pricing, publication dates, author biographies, and other relevant content
- Assist with website maintenance, ensuring book listings, product pages, links, and displayed information are accurate, current, and functioning properly
- Assist with the setup, maintenance, and updating of Amazon book listings, including product details, pricing, availability, and related publishing information




- Support Amazon shipping and fulfillment workflows, including preparing orders, coordinating shipments, and monitoring order status
- Assist with print-on-demand (POD) systems, including title setup, file submissions, revisions, proofing, and maintaining accurate production information
- Upload, organize, and maintain book files, cover artwork, and other digital assets across publishing, distribution, and e-commerce platforms
- Troubleshoot website, metadata, and platform-related issues, independently investigating errors, identifying potential solutions, and escalating unresolved technical issues to management or external service providers
- Monitor publishing and e-commerce systems for errors, missing information, broken links, or inconsistencies, taking initiative to resolve issues where possible
- Maintain accurate records across publishing databases, spreadsheets, and digital systems, including ongoing data cleanup, backlist updates, and information management
- Assist with the setup of new titles across company websites, retail platforms, and distribution systems, ensuring all information is uploaded accurately and within established production timelines
- Coordinate with printers, POD providers, distributors, and other external partners to support day-to-day publishing operations and resolve workflow-related issues

Fulfillment, Logistics & Office Operations

- Assemble and ship books to authors, customers, media, influencers, accounts, and distribution representatives
- Manage website orders, including quarterly subscription mail-outs and subscriber fulfillment
- Track shipments, returns, and delivery confirmations
- Assist with mail and warehouse pickup days and large mail-outs, including author copies, review shipments,



and promotional materials

Event Sales & Inventory

- Receive, count, organize, and prepare book inventory for author events, festivals, conferences, and other events
- Manage on-site book sales using Square, cash, and credit/debit transactions
- Maintain accurate event inventory throughout each event
- Reconcile sales, returns, payments, and remaining inventory after each event
- Assist with packing and returning unsold inventory following events
- Support the team with event setup, inventory organization, and other operational requirements as needed

Requirements

This role is ideal for someone who:

- Is highly organized, reliable, and comfortable managing multiple tasks and deadlines
- Has exceptional attention to detail, particularly when entering, reviewing, and maintaining data and product information
- Is comfortable working with computer-based systems for extended periods
- Is confident learning new software, websites, and digital platforms
- Can follow detailed processes and maintain accuracy when performing repetitive or administrative tasks
- Has strong organizational and record-keeping skills
- Is comfortable working with spreadsheets, databases, and online systems
- Has some familiarity with e-commerce platforms, Amazon, WordPress, or other online retail systems (training will be provided)
- Can comfortably lift and move boxes of books (up to 15 lbs per box)
- Is comfortable dealing with couriers, printers, distributors, warehouses, and event venues
- Is comfortable handling retail-style transactions using Square, cash, and credit/debit
- Can work independently while also communicating effectively with a small team
- Has an interest in publishing, books, e-commerce, or digital operations
