SKY School is seeking a professional, organized, dependable, and personable School Office Assistant to support the day-to-day administrative operations of our school.
The Office Assistant will serve as one of the primary points of contact for students, parents, staff, and visitors. This position is primarily administrative; however, as part of a small and collaborative school environment, the successful candidate may also occasionally be asked to assist teachers and support students in the classroom when needed.
The ideal candidate is highly organized, detail-oriented, comfortable managing multiple priorities, and able to communicate professionally and warmly with families, students, and staff.
Key Responsibilities
Responsibilities include, but are not limited to:
- Serve as the front-desk receptionist and welcome students, parents, visitors, and staff.
- Respond to incoming phone calls, emails, and general inquiries in a timely and professional manner.
- Communicate and coordinate with parents regarding school information, forms, payments, schedules, student matters, and administrative requests.
- Prepare and issue tuition invoices, fee invoices, receipts, and payment reminders.
- Track tuition and other school-related payments and maintain accurate administrative records.
- Maintain confidential and accurate student records, including enrolment documents, contact information, attendance documentation, and other required school records.
- Assist with student registration, admissions paperwork, withdrawals, transfers, and general enrolment administration.
- Organize and maintain electronic and physical filing systems.
- Prepare letters, forms, notices, spreadsheets, reports, and other school documents.
- Collect and track parent forms, permissions, acknowledgements,
and required documentation.
- Coordinate administrative follow-up and general school communications with families.
- Support teachers and school administration with scheduling, document preparation, photocopying, filing, and other administrative tasks.
- Assist with school events, field trips, photo days, parent meetings, and other school activities.
- Maintain office supplies and assist with ordering and inventory.
- Provide occasional classroom support to teachers when required, including assisting with student supervision, classroom activities, organization, and general classroom needs under the direction of the teacher or school administration.
- Assist with student supervision during transitions, breaks, or other school activities when required.
- Maintain student and family confidentiality at all times.
- Perform other administrative and school-support duties as assigned by school administration.
Qualifications The ideal candidate will have:
- Previous administrative, receptionist, office assistant, or customer service experience.
- Strong verbal and written communication skills.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Ability to manage multiple tasks and priorities in a busy school environment.
- Strong computer skills, including Microsoft Word, Excel, Outlook, and Google Workspace.
- Experience working with invoices, payments,
spreadsheets, or basic bookkeeping is an asset.
- Experience working in a school, educational institution, daycare, or child-focused workplace is an asset.
- Comfort working with and occasionally supporting school-aged children in a classroom environment.
- Ability to communicate professionally and respectfully with parents, students, staff, and outside organizations.
- Ability to exercise discretion and maintain confidentiality when handling student and family information.
- A positive, dependable, professional, flexible, and team-oriented attitude.
