Swick’s Landscaping Ltd. – Vancouver, BC

Full-Time | $60,000–$85,000 per year, depending on experience

Swick’s Landscaping is looking for a highly organized Project & Operations Coordinator to support coordination across our construction, maintenance, horticulture and special-project operations.

This role sits between management, field teams, estimating, finance, suppliers and clients. The primary objective is to keep work moving, ensure follow-ups are completed, and reduce the amount of day-to-day coordination currently being handled by senior management.

This is not a purely administrative position. We are looking for someone who understands landscaping or construction operations and can independently recognize what needs to happen next, who needs to be involved, and what information is missing.

Key Responsibilities

- Coordinate active work across construction, maintenance, horticulture, irrigation and special projects.
- Maintain visibility over outstanding jobs, site requests, deficiencies, estimates and follow-ups.
- Help prioritize incoming work and ensure items are assigned, scheduled and completed.
- Coordinate schedules between managers, crews, subcontractors, suppliers and clients.
- Follow up on outstanding site issues, approvals, pricing, materials and client decisions.
- Manage new leads, plans, specifications and information required for estimating.
- Assist with quantity takeoffs, supplier pricing, labour allowances and proposal preparation.
- Track estimates and ensure quotes and follow-ups do not stall.
- Set up approved construction and enhancement projects with clear scopes, budgets, schedules and documentation.
- Coordinate purchasing, deliveries, materials, subcontractors and equipment.
- Track change orders, extras, deficiencies and outstanding project items.
- Assist Maintenance and Horticulture management with larger enhancement jobs, quoted work, seasonal projects and client requests.




- Ensure completed field work is properly documented for costing and billing.
- Work with Finance to ensure labour, materials, equipment, subcontractors and changes are captured accurately.
- Maintain organized project and operational files.
- Ensure information is flowing properly between the office and field teams.
- Prepare a clear weekly overview of active projects, estimates, schedules, outstanding work and decisions requiring management attention.

What We Are Looking For The most significant qualities for this role are landscape/construction knowledge, organization, ability to multi-task, initiative and follow-through. The successful candidate should be able to manage many moving pieces without requiring constant direction.

Ideal qualifications include

- 3+ years of experience in landscape construction, landscape operations, construction coordination, estimating, project coordination or a similar role.
- Strong understanding of how field operations work.
- Knowledge of labour, materials, equipment, suppliers and subcontractors.
- Ability to read plans, scopes and construction documentation.
- Strong scheduling and organizational skills.
- Ability to manage multiple active items across different departments.
- Strong written and verbal communication.
- Comfortable following up with staff, suppliers, subcontractors and clients.
- Experience using spreadsheets, cloud-based files and project-management systems.
- Valid BC driver's licence.

Strong Assets
- Landscape construction experience.




- Landscape maintenance or horticulture operations experience.
- Estimating and quantity takeoff experience.
- Experience pricing labour, materials, equipment and subcontractors.
- Job-costing or project-cost tracking experience.
- Experience preparing change orders or project budgets.
- Irrigation or landscape-enhancement experience.
- Experience coordinating multiple crews or service divisions.

The Type of Person We Need This role will suit someone who is comfortable working across departments rather than staying in one narrow lane.

On one day, you may be helping organize a construction estimate or material order. On another, you may be coordinating a quoted maintenance enhancement, following up on an irrigation issue, confirming a subcontractor, organizing a client request or making sure Finance has the information needed to bill completed work.

The goal is to create one reliable point of coordination so that managers can focus on managing their departments rather than tracking every individual follow-up.

Compensation: $60,000–$85,000 annually, depending on relevant experience.
