The Administrative Specialist provides reliable, detail-oriented administrative and operational support to the business operations by helping keep daily priorities, recurring processes, internal documentation, and business support tasks organized and moving forward. This role creates capacity for the Director of Operations by managing routine administrative work, tracking follow-ups, maintaining accurate information across systems, and supporting financial, vendor, project, and internal coordination activities with consistency and care.

Core Responsibilities

- The Director of Operations has reliable administrative support for recurring priorities, follow-ups, scheduling, documentation, and day-to-day coordination.
- Operational systems, trackers, folders, calendars, and shared resources are kept accurate, organized, and easy to navigate.
- Financial and vendor administration is supported through careful preparation of expense, invoice, purchase, renewal, and contract-related information.
- Internal communications, meeting notes, reminders, and follow-up messages are clear, skilled, timely, and aligned with operational priorities.
- Operational documentation, templates, checklists, and process resources are maintained so team members have access to current information.
- Outstanding items, risks, missing information, and recurring process gaps are identified, tracked, and escalated appropriately.

Measures of Success

- Recurring administrative tasks are completed accurately and on time, with minimal reminders required.
- Follow-ups, deadlines, open items,



and approvals are tracked clearly so the Director of Operations has reliable visibility into current priorities.
- Operational trackers, shared folders, calendars, documentation, and internal records are kept accurate, organized, and easy to navigate.
- Expense, invoice, purchase, renewal, vendor, and contract-related information is gathered, prepared, and escalated appropriately for review or approval.
- Meeting notes, reminders, internal updates, and follow-up communications are clear, professional, timely, and aligned with operational priorities.
- Procedures, templates, checklists, and process resources are maintained so current operational information is easy for the team to find and use.
- Recurring issues, missing information, process gaps, or risks are identified early and brought forward with enough context to support resolution.
