Corporate Operations Full Time Vancouver, BC $90,000 - $110,000 CAD per year
We're looking for an Executive Assistant to support our CEO and executive team. You'll be the person who keeps our leadership organized and prepared: managing the CEO's time and priorities, running the logistics behind our board and shareholder meetings, and making sure the executive team can plan and work across departments without friction. You'll handle confidential material with discretion and bring order to the documents, contracts, and details that sit behind a growing company.
This role reports to the CEO and works closely with the broader executive team.
What You'll Do Manage the CEO's calendar, correspondence, and travel, anticipating needs and flagging issues before they arise
Own the logistics of Board of Directors and Shareholder meetings, including scheduling, agendas, board packages, minutes, record keeping, and follow-up on action items
Manage confidential investor and stakeholder materials, including the data room, in partnership with the executive team
Support members of the executive team with planning, prioritization, and organization of their work
Run the logistics of recurring business sync and executive meetings, including scheduling, agendas, and action tracking
Schedule and coordinate cross-departmental meetings, preparing agendas and pre-reads and tracking outcomes
Plan and deliver company meetings and events, including all-hands meetings and social events
Prepare, format, and proofread documents, presentations, and reports for executive, board, and external audiences
Coordinate legal and contract processes: routing agreements for review and signature, tracking status and key dates, and liaising with external counsel as directed
Prepare and process standard-form agreements (e.g., NDAs, MTAs) against approved templates, escalating non-standard terms
Maintain organized,
access-controlled records for corporate, board, and contract documents
Take on ad hoc projects in support of the executive team
What You Bring 5+ years of experience supporting C-suite executives, including calendar management, correspondence, and travel
Experience coordinating board and shareholder meetings and handling confidential information
Strong document preparation skills and experience coordinating contracts or legal paperwork
Experience planning company meetings and events
Exceptional attention to detail and a high standard for accuracy
The ability to juggle competing priorities across multiple executives and adapt quickly when plans change
Sound judgment and complete discretion with sensitive information
Clear, professional communication, in writing and in person, with people at every level, from new hires to board members
A self-directed approach: you take ownership of your work and deliver with little oversight
Experience in a smaller, growing organization; exposure to a larger corporate environment is an asset
Advanced proficiency with Google Workspace
A bachelor's degree or equivalent relevant experience
Please Note: This position requires full‑time, in‑office presence at our Olympic Village locations.
Flexibility to occasionally work early mornings, evenings, or weekends as needed

Compensation: The posted range for this position is $90,000 - $110,000 CAD. In addition to base salary, you will be eligible for our bonus program, stock options, 4+ paid weeks off/year and extended health advantages after 3 months of service.
