Job Summary This position works within the UBC Faculty of Medicine’s Division of Continuing Professional Development (UBC CPD) and is responsible for supporting the Accreditation portfolio. The role applies specialized knowledge of accreditation standards, data quality practices, and structured review processes to support the design, delivery, evaluation and administration of continuing professional development (CPD) activities to educational quality standards in compliance with national certification and accreditation standards. This position reviews and analyzes internal and external accreditation applications, ensuring compliance with national standards as set by the College of Family Physicians of Canada (CFPC) Mainpro+ standards, and the Royal College of Physicians and Surgeons Maintenance of Certification (MOC) standards. The incumbent exercises independent judgment in the interpretation of accreditation standards, assessment of compliance risks, analysis of data, and development of recommendations to support continuous quality improvement initiatives. The role is responsible for maintaining accurate and high quality data, preparing documents and coordinating structured peer review workflows, identifying trends and process issues, and contributing to reporting and continuous improvement initiatives.

UBC Faculty of Medicine Vision: To Transform Health for Everyone The Faculty of Medicine - comprised of approximately 2,700 administrative support, technical/research and management and professional staff, as well approximately 600 full-time academic and over 10,000 clinical faculty members - is composed of 19 academic basic science and/or clinical departments, 3 schools, and 26 research centres and institutes. Together with its University and Health Authority partners, the Faculty delivers creative programs and conducts research in the areas of health and life sciences. Faculty, staff and trainees are located at university campuses, clinical academic campuses in hospital settings and other regionally based centres across the province.
Reports to the UBC CPD Accreditation Coordinator. Works closely with CPD leadership, physician reviewers, and internal and external interest holders, including accrediting bodies (CFPC and Royal College). Collaborates with team members across UBC CPD portfolios and interacts regularly with internal FoM departments, healthcare organizations, and external partners.
Accreditation Compliance Review & Analysis Conducts independent technical review and analysis of accreditation applications, ensuring compliance with national standards and identifying gaps, inconsistencies, and required revisions prior to developing an accreditation recommendation to physician reviewer. Applies and interprets accreditation standards, policies,



and guidelines to support consistent and defensible review outcomes and makes recommendations that inform accreditation approval decisions. Performs completeness checks and critical evaluation of submission materials to ensure data accuracy and compliance.
Investigates and resolves application discrepancies and escalates complex compliance issues as required.
Data Management, Quality Assurance, and Reporting Maintains accreditation databases and application tracking systems, ensuring data integrity, completeness, and audit readiness. Performs data verification and quality assurance checks on accreditation records. Collects, analyzes, and summarizes accreditation data to identify trends, recurring errors, and operational inefficiencies.
Generates statistical summaries, baseline metrics, and draft reports to support evaluation and annual reporting. Conducts trend analyses and environmental scans using accreditation and program evaluation data to identify emerging issues, organizational risks, and opportunities for process improvement.
Peer Review and Interest holder Coordination Coordinates structured peer review workflows, including compiling and preparing application materials, distributing to physician reviewers, and tracking outcomes. Liaises with accreditation applicants, reviewers, and accrediting bodies to facilitate timely and accurate review processes.
Receives and reviews time sensitive external and internal accreditation applications, in line with the Accreditation standards. Provides guidance to applicants regarding submission requirements and standard processes; escalates complex inquiries as needed. Acts as a primary point of contact for stakeholders throughout the application lifecycle.
Process Improvement and Systems Support Identifies recurring submission issues, workflow bottlenecks, and system inefficiencies; contributes to process improvement initiatives. Troubleshoots accreditation platform and application issues; documents and escalates technical concerns. Participates in system testing, workflow optimization, and implementation of process enhancements.
Knowledge Translation, Training, and Documentation Maintains current knowledge of accreditation standards, policies, and procedural updates. Develops and updates accreditation guidance materials, training resources, and onboarding documentation. Plans and executes the delivery of training sessions for staff, reviewers, and applicants to promote consistent interpretation and application of standards.
Research and Scholarship Support Supports the design and implementation of research and evaluation activities, including the development of data collection tools, tracking systems, logic models, and evaluation frameworks to assess educational program outcomes. Conducts literature searches and environmental scans to inform accreditation policies, procedures and quality improvement initiatives; Prepares, collects, summarizes, and analyzes both qualitative and quantitative data from program evaluations and develops recommendations to address areas for improvement. Collaborate with health care professionals, project team, external consultants, and other team members to develop needs assessments and evaluation instruments; ensures evaluation methodologies are ethical, and aligned with national standards. Administer surveys and evaluation tools (developed by CPD team and/or investigators) to assess learning outcomes, knowledge retention, practice change, and participant satisfaction. Translate research and evaluation findings into reports, practical program improvements, educational content, and policy recommendations. Writes research reports and presents research findings to the Accreditation Coordinator. , Accreditation Council and other interest holders as required. Ensures research findings in courses adhere to national and provincial accreditation and certification standards, where applicable.
Financial and Operational Data Support Tracks application fees, expenses,



and resource usage in alignment with established procedures. Prepares basic financial summaries and supports reporting inputs for program evaluation and budgeting processes.
Records Management and Administrative Support Maintains accurate and confidential accreditation records and documentation. Ensures proper organization and audit readiness of digital files and application materials. Maintains internal documentation and materials to reflect current processes and standards. Provides logistical support for Accreditation Council activities. Provides ad hoc administrative support to Accreditation Coordinator, Medical Director of Program Standards, and other senior leaders as required.
Consequence of Error/Judgement This role requires sound judgment in the interpretation and application of accreditation standards and in managing confidential and sensitive data. Errors in compliance review recommendations, data integrity, or stakeholder communication could negatively impact accreditation outcomes, compromise program credibility, and affect the reputation of UBC CPD.
Supervision Received Works independently within established frameworks, standards, and procedures. Receives guidance on complex issues from the Accreditation Coordinator.
Supervision Given May oversee students, temporary staff, or project assistants supporting data management or accreditation processes.
Minimum Qualifications High School graduation, plus two year post-secondary diploma, plus four years of related experience, or an equivalent combination of education and experience.

Strong analytical and problem-solving skills, including ability to identify trends and process improvements
Ability to interpret policies, standards, and guidelines and apply them consistently
Demonstrated ability to exercise sound judgment, work independently, collaborate effectively with multidisciplinary teams, and appropriately escalation complex or high-risk issues.
Demonstrated ability to manage multiple priorities and time-sensitive deliverables while maintaining accuracy and confidentiality
