Job OverviewSUMMARY The Service Writer provides administrative and operational support to the Fleet Service Department, with responsibility for work order administration, WIP tracking and reporting, employee time and payroll documentation, equipment records, and service coordination. This role works closely with the Shop Foreman and other stakeholders to maintain accurate records, coordinate third-party services and regulatory inspections, monitor work orders through completion, and support the efficient day-to-day operation of the Acheson fleet service facility. Location: Acheson, ABJob DutiesAssist in tracking incoming and outgoing customer equipment for yard listingTrack the progress of work orders during repair to update status changes and maintain accurate WIP reportingPrepare WIP reportingOpen and revise recent work orders/segments as requiredReview Work Orders to ensure accuracy before completionEnter Daily Work Journals into system & update Work Order ListCreate & submit weekly payroll reports to HRCreate & submit Employee Change Forms, as requiredManage vacation calendar for Acheson (office & shop employees)Enter scope of work for estimate drafts from RMI'sPrepare estimate drafts as requiredAssist Shop Foreman with the maintenance of work orders in progress to ensure timely closureBook third party field calls, follow-up to ensure completion and enter vendor invoices into work orders,
act as point of contactManage CVIP's, CERT's, and Mechanical Inspection, including advise respective sites of pending expirationsBook appointments for expiring unitsUpdate records in Fleet Management System & equipment files in network driveOrder coffee / supplies bi-weeklyAssist with maintaining lunchroom cleanlinessBack-up coverage for Poplar Creek AdministratorOther duties as required by managementQualifications / SkillsHigh school diploma, or an acceptable combination of education and experienceStrong organizational and communication skillsSkilled in the use of MS Office (Word, Excel, Outlook, PowerPoint) and internet-based programsBasic knowledge of accounting practices preferredGeneral understanding of mechanical/technical terms considered an asset #LI-AK1Power Your Potential.
