About Us

The Office of the Registrar supports students’ academic pursuits as well as Western’s strategic priorities by delivering an array of integrated services in a skilled environment, while maintaining the integrity and confidentiality of student information throughout the student lifecycle. The Records department's goal is to maintain the integrity of Western’s reputation for academic excellence through the precise and efficient collection and recording of student registration and performance data. To contribute positively to the student experience by continuously improving technical systems that support the student lifecycle from admittance to convocation. To serve the Western community, including current and former students, their families, faculty and administrative staff, as well as organizations at the local, national and international level.

Responsibilities

The Records Officer is responsible for coordinating business processes as they relate to student records and enrollment services. The Records Officer is a source of information on behalf of the Office of the Registrar in relation to students’ records, enrollment activities, and graduation. They are a key resource for maintaining procedural documentation for the processes within the Student Records group. The Records Officer supports the unit through student record set-up, course registration set-up, term activation, centralized examination scheduling, internship set-up and grading, name changes,



Dean’s Waivers, and adjudication workflow including the administration, planning and distribution of Western University diplomas.

Qualifications

Education

- University Degree preferably in Business Administration or Information Management

Experience:
- 3 years progressive administrative experience within a post-secondary academic environment
- Experience working in a Registrar’s Office, using PeopleSoft Higher Education, or Infosliem, and/or supporting Student Records would be an asset

Skills, Abilities & Expertise:
- Excellent verbal and written communication skills with a demonstrated ability to write clear, concise procedural documentation
- Proven extensive experience with the Microsoft Office suite (Word, Excel, Access) and PeopleSoft HE
- Demonstrated commitment to ongoing learning and professional development
- Ability to process information with high levels of accuracy as well as analyze and synthesize sizable amounts of detail/data
- Ability to work within a versatile schedule to accommodate the University’s events and activities (e.g., Convocation ceremonies can run outside regular business hours)
- A strong record of teamwork with the motivation and ability to work independently with little supervision
- Demonstrated resourcefulness with a strong sense of accountability and initiative
- Ability to work with individuals and groups in a constructive and collaborative manner
- Ability to work well under pressure and handle multiple conflicting priorities in a fastpaced environment with frequent interruptions
- Judgment,



analytical and problem-solving skills with a consultative and collaborative approach to addressing issues and opportunities
- Professional manner, tact, diplomacy and discretion in dealing with associates and colleagues including senior management
- Proven ability to take initiative and champion a project from conception through implementation and evaluation
