About the Role—Account Coordinator
We’re looking for an Account Coordinator to help keep projects, proposals, and communications running smoothly. This role blends coordination, organization, and attention to detail. You’ll support Account Managers and the Leadership Team across a mix of creative and strategic initiatives—from coordinating timelines and vendor quotes to preparing decks and polishing proposals. What You’ll Do
Account Coordination
- Book meetings, manage schedules, and ensure milestones stay on track.
- Proofread documents for accuracy, tone, and consistency.
- Draft and finesse scopes of work, contracts, and project plans in collaboration with Account Managers.
- Monitor project budgets and flag changes or risks for Account Managers.
- Prepare meeting agendas and record action items to ensure follow-up.
- Assist with content collection from clients.
- Assist with website projects through content entry, QA coordination, redirect preparation, launch support, and routine updates to client and Intent websites.
- Organize and format quality assurance (QA) feedback for development and creative teams.
- Prepare and refine client decks based on team notes and direction.
- Support project onboarding and setup across Intent's project management systems
- Organize client feedback into clear, actionable project tasks
- Support invoicing and recurring client reporting
- Help maintain Intent's internal processes and documentation
- Assist with miscellaneous administrative and project-related tasks as needed in support of the broader team
Business Development Coordination
- Manage the
[email protected] inbox and respond to new business inquiries
- Coordinate client intake surveys and set up proposal folders
- Track and organize new business opportunities, tasks, and deadlines
- Administer and manage the sales pipeline, ensuring data accuracy
- Prepare quarterly reports for Account Managers and Leadership
- Gather quotes and coordinate with project vendors.
- Assist with vendor purchase orders and invoice tracking
Compensation
- $52,000 salary
- Full-time position
- Ontario applicants only
- This role is fully remote, with limited in-person meetings
- A laptop will be supplied
Requirements
- Exceptional organizational skills and obsessive attention to detail.
- High quality written communication and proofreading ability
- Proficiency in Microsoft 365, including collaborative work in shared documents, presentations, and online productivity tools.
- Comfortable learning and working across multiple digital tools and project management systems.
- Familiarity with data management and an ability to interpret basic performance metrics is an asset
