Job Overview

Administrative Assistant / Office Administrator

Employment Type: Full-Time, Permanent

Compensation: $28.00 – $31.00 per hour (based on experience)

Location: On-site (Downtown Canmore, AB)

Schedule: Monday to Friday, 8:30 AM – 5:30 PM (1-hour lunch break)

Benefits: Health Spending Account (eligible after 3 months)

As our central communicator, you will play a critical role in keeping our clients delighted, our office organized, and our sales team operating at peak effectiveness.

Role Overview

We are seeking a motivated, detail-oriented professional to manage daily office functions while providing comprehensive administrative and operational support to our team. In this dual role, you will serve as the first point of contact for clients, create a welcoming environment, and drive efficient behind-the-scenes systems.

Key Responsibilities

1. Front Desk & Office Management

- Greet clients and visitors with a warm, professional demeanor.
- Answer inbound phone calls, manage email inquiries, and assist walk-in clients.
- Manage incoming mail, sort deliverables, and deposit cheques.
- Maintain office inventory, order supplies, and ensure a clean, organized workspace.
- Handle general office coordination and administrative tasks as needed.

2. Real Estate Operations & Transaction Support

- Coordinate agent calendars, appointments, client meetings, open houses, and property showings.
- Assist with drafting listing agreements, purchase contracts, disclosures,



and related real estate documents.
- Upload, update, and manage property listings on the MLS and secondary platforms.
- Organize and maintain client files, transaction records, and CRM databases.
- Track transaction milestones (inspections, appraisals, conditions, closing activities) and audit files for accuracy.
- Communicate professionally with clients, real estate agents, lenders, inspectors, and lawyers to ensure seamless deal flow.

3. Marketing & Client Experience

- Design marketing materials including property flyers, brochures, feature sheets, and listing presentations.
- Create, schedule, and manage engaging social media content and campaigns.
- Draft and distribute regular client updates, newsletters, and follow-ups.
- Perform routine updates and quality checks on our team website.
- Generate regular activity and lead tracking reports for team leadership.

Qualifications

- Experience: Previous administrative experience is preferred. Prior experience in real estate administration, conveyancing, or brokerage operations is a strong asset but not mandatory
- Communication: Exceptional written, verbal, and interpersonal skills with a welcoming, customer-first attitude.
- Technical Proficiency: Strong hands-on experience with Microsoft Office (Word, Excel, Outlook) and Google Workspace.



Experience with real estate software, MLS systems, or CRMs is beneficial.
- Organization & Detail: Outstanding attention to detail, strong time management, and the ability to prioritize tasks in a fast-paced environment.
- Autonomy: Ability to work independently, maintain strict client confidentiality, and take proactive initiative.
- Education & Credentials: Minimum High School Diploma/GED (post-secondary administrative training preferred). A valid driver’s license and access to a reliable vehicle are preferred.
