The Administrative Coordinator, Transportation & Fleet, will play a key role in keeping essential transportation services running smoothly behind the scenes. From coordinating winter maintenance programs and supporting capital projects to managing financial processes, procurement activities, and public inquiries, you'll work across the organization to help deliver safe, efficient, and reliable services for the community

Position Purpose:

Reporting to the Manager, Transportation &

- Fleet Services, the Administrative Coordinator, Transportation &
- Fleet, provides administrative, financial and operational support to the Transportation &
- Fleet Services Division. The position supports the Manager, Transportation &
- Fleet Services,



Transportation Supervisor and Operations Technologists in the coordination and administration of transportation programs, winter maintenance activities, financial processes, procurement activities, customer service inquiries, divisional records management and corporate reporting requirements. The position also provides administrative support to the Engineering &
- Public Works Commission, including backup administrative support as required.

Responsibilities related to fleet services are limited primarily to invoice processing, financial tracking and coordination of fleet-related invoices with internal departments and commissions.

Qualifications and Requirements:

- A minimum three (3) year Community College Diploma in Finance or Transportation related discipline including proficiency in computer operations, basic accounting, purchasing principles and public relations.
- A minimum of three (3) years related work experience in municipal operations.
- Excellent organizational and communication skills with demonstrated experience with financial tracking, analysis, and controls in a project-based environment.
- Experience and understanding in municipal capital program delivery performance monitoring, etc.
- Experience and understanding of project delivery in terms of processes, practices, information, data, information systems, reporting and organization/people.
- Knowledge of relevant acts, guidelines, regulations and legislation
- Valid Ontario Class “G” Driver’s License in good standing,



must have own vehicle (subject to annual driver’s abstract).
- Project Management Professional (PMP) designation an asset.
- Experience and understanding in municipal budget delivery and performance monitoring.
- Experience and understanding of project delivery in terms of processes, practices, information, data, information systems, reporting and organization/people.
- Knowledge of relevant acts, guidelines, regulations and legislation.
- Experience with tendering process, contract administration and contract law.
- Contract management skills with proven ability to effectively manage external consultants and contractors.
- Excellent communication, interpersonal, consultation and relationship building skills, with ability to deal courteously and effectively with elected and appointed officials, other levels of government, the general public/residents, contractors, and other departmental/corporate contacts.
- Excellent analytical, problem solving, research, organizational, project management/coordination and negotiation skills.
- Excellent skills in report writing and other forms of written communication.
- Ability to align Transportation & Fleet Services Division services with departmental and corporate goals/objectives, with ability to foster corporate thinking and a positive/enthusiastic customer-service approach among staff. Continuous quality improvement orientation.
- Proficiency using various types of software programs (Microsoft Office, Service Request Manager, Work Manager), VIP and financial systems (Great Plains).
