Overview
We are experiencing rapid growth and are seeking a dependable, proactive, and detail-oriented Administrative & Dispatch Coordinator to join our team in the office furniture installation industry.
Dispatch and daily coordination of our field teams will be a primary responsibility of this position. You will coordinate crews and schedules, communicate job details and changes, track employee hours, maintain project records, and provide ongoing support to field staff and management.
Our environment is fast-paced and schedules can change throughout the day. We are looking for someone who can think critically, take initiative, solve problems, and make sound decisions with limited information while keeping crews and projects organized.
Experience in dispatch, scheduling, office furniture installation, moving, construction, or the trades is a strong asset.
Key Responsibilities
- Coordinate daily dispatch and scheduling of field crews across active jobs and projects.
- Communicate schedules, jobsite information, changes, and instructions to field employees.
- Respond to scheduling changes, delays, staffing requirements, and other day-to-day field issues.
- Maintain awareness of active projects, crew assignments, and upcoming scheduling requirements.
- Coordinate with management and project teams to ensure appropriate staffing and resources are assigned.
- Track, review, and enter employee hours and time cards for field staff.
- Maintain accurate employee, project, scheduling, and jobsite records.
- Prepare reports, spreadsheets, correspondence, and project documentation.
- Communicate professionally with employees, customers,
project contacts, and management by phone, text, and email.
- Maintain organized electronic and physical records and provide general administrative support.
- Learn and adapt to time-tracking, scheduling, reporting, and project-management systems.
- Occasionally assist with warehouse tasks, including safely handling materials weighing up to 50 lbs.
- Perform other administrative and operational duties as required.
Qualifications & Skills
- Dispatch, scheduling, or field coordination experience is strongly preferred.
- Strong organizational and time-management skills with the ability to coordinate multiple crews, jobs, and changing priorities.
- Ability to work independently and remain organized in a fast-paced environment.
- Strong critical-thinking and problem-solving skills, including the ability to make decisions with limited information.
- Excellent communication skills and confidence working with field employees, management, customers, and project contacts.
- Proficiency with Microsoft Office, including Excel, Word, and Outlook.
- Familiarity with Google Workspace and the ability to quickly learn new software.
- Strong computer and data-entry skills.
- Experience with PlanGrid or similar construction/project-management software is an asset but not required; training will be provided.
- Experience in the office furniture, modular furniture installation, moving, construction, or trades industry is a strong asset.
- Valid driver's licence.
- Reliable transportation to and from the office and the ability to maintain consistent, punctual attendance.
- Ability to safely lift and move materials weighing up to 50 lbs.
Schedule & Availability
- Primarily a Monday–Friday morning/day shift.
- Regular after-hours work is not expected; however, staying aware of relevant team communications will be important to ensure continuity between shifts
- Some situations may require responding to time-sensitive dispatch or scheduling matters outside regular working hours.

Pay: $45,000.00-$60,000.00 per year
