Automotive Service Writer / Parts Personnel
Full-Time | Competitive Pay | Busy Heavy Duty Maintenance Shop
We are currently seeking a motivated and experienced Service Writer / Parts Person to join our growing automotive repair team. This position plays a key role in keeping our shop organized, efficient, and delivering excellent customer service. The ideal candidate will be knowledgeable in automotive and heavy duty parts, capable of managing service orders, and comfortable communicating with customers and technicians.
Position Overview The Service Writer / Parts Personnel acts as the primary point of contact between customers and the repair shop, ensuring accurate communication of vehicle concerns, preparing repair estimates, sourcing parts, and coordinating workflow between the front desk and the technicians.
Key Responsibilities
- Greet customers in a professional and friendly manner
- Listen to and document customer concerns regarding vehicle issues
- Create and manage repair orders and service tickets within company software
- Prepare accurate repair estimates and explain services to customers
- Communicate repair recommendations and obtain customer approvals
- Order and source automotive and heavy duty parts from suppliers
- Verify parts availability, source pricing, and make deliveries
- Maintain accurate inventory of commonly used parts and shop supplies
- Coordinate with technicians regarding parts needed for repairs
- Track and manage parts orders to ensure timely completion of jobs
- Process invoices, payments, and warranty claims when applicable
- Maintain organized records of repair orders and parts purchases
- Follow up with customers regarding repair status and completion times
- Provide exceptional customer service and build long-term customer relationships
- Maintain a clean and organized office and parts area
Qualifications
- Previous experience as a Service Writer, Parts Advisor, or automotive and heavy equipment parts person preferred
- Strong knowledge of automotive/ heavy duty components and repair processes
- Experience with Microsoft excel and outlook, including invoicing and parts lookup systems.
- Ability to read and understand repair orders and parts diagrams
- Strong customer service and communication skills
- Highly organized with strong attention to detail
- Ability to multitask in a fast-paced environment
- Clean Valid class 5 driver’s license is required
