About The Opportunity On behalf of our client, we are seeking an experienced Executive Assistant to provide high-level administrative, organizational, and strategic support to a senior executive and leadership team.
This fully remote chance is well suited to a highly organized professional who is comfortable managing competing priorities, coordinating across multiple time zones, and handling confidential information with discretion. The successful candidate will help translate strategic priorities into well-managed workflows while supporting effective communication, decision-making, and follow-through across the organization.
Duties include but are not limited to:
- Managing a complex executive calendar across multiple time zones, including scheduling, meeting logistics, and conflict resolution
- Maintaining an overview of priorities, commitments, deadlines, and follow-up actions.
- Supporting planning processes and tracking key deliverables and strategic commitments
- Managing and triaging executive correspondence and ensuring timely follow-up
- Preparing briefing notes, presentations, reports, and other documentation
- Organizing and maintaining confidential records, files, and tracking tools
- Coordinating meetings with internal and external stakeholders, including agenda preparation, notes, and action items
- Preparing travel expense reports and coordinating with finance contacts to ensure accurate reconciliation and submission
- Coordinating cross-functional initiatives and tracking progress on deliverables
- Supporting leadership meetings, retreats, planning sessions, and team gatherings
- Providing general administrative and coordination support to the executive leadership team
About You The successful candidate will have the following:
- A bachelor’s degree in business administration or a related field, or an equivalent combination of education and experience
- Bilingual proficiency in English and French
- Minimum of three to five years of experience in an executive assistant, senior administrative, or similar support role
- Experience managing complex calendars, correspondence, meeting coordination, and confidential information
- Excellent written and verbal communication skills
- The ability to work independently and collaboratively across different time zones and work environments
- Proficiency with Microsoft Office, Google Workspace, and project management tools
- Flexibility to occasionally adjust working hours to support collaboration across international time zones
About the Job This is a full-time, three-month contract position offering $35.00 to $37.00 an hour, depending on experience. The role is 100% remote, though candidates must be based in Ontario.
