About the Role
Emery Village BIA is seeking an organized and detail-oriented Part-Time Bookkeeper to manage our day-to-day financial transactions and recordkeeping. Working on-site two days a week, you will play a critical role in maintaining accurate accounts, processing invoices, supporting budget tracking, and preparing financial records for management and Board review.
Key Responsibilities
Accounts Payable & Receivable
- Receive, review, code, and process vendor invoices and expense reports accurately and promptly.
- Match invoices with purchase orders, contracts, and approval documentation.
- Prepare payment runs (cheques, EFTs, or electronic transfers) for vendor accounts.
- Track incoming payments, invoices, and follow up on outstanding accounts receivable.
Financial Recordkeeping & Reconciliation
- Maintain up-to-date financial records and general ledger entries using accounting software.
- Perform monthly bank and credit card reconciliations.
- Assist in tracking department budgets, project expenses, and BIA asset allocations.
- File and maintain structured digital and physical financial records for audit readiness.
Reporting & Administrative Support
- Assist the auditor in preparing monthly, incoming statements, quarterly, payroll, CRA, HST, WSIB, and annual financial statements or summary reports.
- Support the Streetscape and Operations team with budget updates and change order tracking.
- Help compile financial documentation and Treasurer Report BIA Board of Management meetings.
- Assist the Auditor with basic year-end audit preparation and work alongside external accountants as needed.
Qualifications & Requirements
- Experience: 1- 2 years of proven bookkeeping, accounting, or accounts management experience.
- Software Skills: Proficiency in QuickBooks (Online or Desktop) and Microsoft Excel; familiarity with MS Office Suite.
- Education: Diploma or certificate in Accounting, Bookkeeping, Finance, or a related field (or equivalent working experience).
- Skills & Attributes:
- Exceptional attention to detail and accuracy in data entry.
- Strong organizational and time-management skills to handle weekly deadlines.
- Solid understanding of basic accounting principles, standard invoice workflows, and GST/HST filing basics.
- Good written and verbal communication skills.
- Availability: Must be available to work in office at the Emery Village BIA office two days a week and occasional evening meetings.
Pay: $23.00 per hour Expected hours: 16.0 – 20.0 per week
