Integrated Rehab is seeking an experienced Business Manager to join our growing team. We are a privately owned occupational therapy and counselling practice providing community-based assessment and rehabilitation services throughout Calgary and surrounding areas.
Our team provides rehabilitation services to individuals with complex health conditions and disabilities, working closely with clients, families, insurers, employers, legal representatives and other health professionals.
The Business Manager will oversee the day-to-day business and administrative operations of the clinic, working closely with the clinic owners to support efficient operations, strong financial and administrative controls, excellent stakeholder service and continued business growth.
This is a hands-on leadership role suited to someone who is highly organized, comfortable managing competing priorities, confident supervising and developing administrative staff, and able to identify operational problems and implement practical solutions. The successful candidate will understand the importance of balancing business performance with the needs of a healthcare workplace where privacy, professionalism and client service are essential.
Responsibilities The successful candidate will:
- Oversee day-to-day administrative and business operations of the clinic
- Lead, support and supervise the administrative team, including establishing clear roles, responsibilities and performance expectations
- Support recruitment, onboarding, training and ongoing development of administrative employees
- Develop, implement and maintain effective administrative procedures and workflows
- Monitor referral intake, scheduling, service timelines and administrative follow-up to support efficient client flow
- Oversee invoicing and accounts receivable processes, including monitoring outstanding accounts and ensuring appropriate follow-up
- Monitor operational and financial information and identify areas requiring follow-up or corrective action
- Support budgeting, expense monitoring, purchasing,
cash-flow management and other financial processes in collaboration with the clinic owners and accountant
- Track key business indicators including referrals, caseloads, service utilization, clinician capacity, cancellations, billing and revenue
- Prepare concise operational and financial reports to assist the owners with business planning and decision-making
- Identify inefficiencies, workflow gaps and opportunities to improve clinic operations
- Ensure administrative processes are consistent with clinic policies, contractual requirements, privacy obligations and established procedures
- Oversee clinic technology, administrative systems, supplies, equipment and facility requirements
- Maintain and strengthen relationships with referral sources, funders, insurers and other key stakeholders
- Support timely and professional communication between clinicians, administrative staff, clients and external stakeholders
- Address administrative or service concerns and escalate clinical, privacy, financial or other significant issues to the clinic owners as appropriate
- Support business development initiatives, referral-source relationships and opportunities for continued growth
- Work collaboratively with the clinic owners on annual and ongoing business planning
Qualifications
- Post-secondary education in business administration, management, healthcare administration or a related field
- Minimum three years of relevant business, operations or administrative management experience preferred
- Previous experience supervising or managing administrative employees
- Experience within a healthcare, rehabilitation, professional services or private practice environment considered an asset
- Expertise with platforms including Jane and Quickbooks
- Experience working with confidential information and an understanding of privacy requirements within a healthcare environment considered an asset

- Ability to work independently while collaborating closely with clinic ownership and the broader team
- Flexible and adaptable, with a willingness to take responsibility for both day-to-day operational needs and longer-term projects

Pay: $28.00-$34.00 per hour Expected hours: 37.5 per week
