We are looking for a highly organized, proactive, and client-focused Event Coordinator to join our team.
In this role, you will play a key part in the planning, coordination, and delivery of large-scale corporate events. Working closely with internal teams, clients, exhibitors, speakers, and external partners, you will help create engaging and seamless event experiences that exceed expectations. This position offers an exciting opportunity to contribute to high-profile events while developing robust relationships with stakeholders and vendors.
Project
Management & Event Planning Support the planning and execution of corporate events from start to finish. Develop and manage project timelines, budgets, and production schedules. Monitor project progress and ensure all milestones are achieved on time and within budget. Identify potential risks and implement solutions to ensure successful event delivery.
Event Administration
Prepare and maintain event-related documentation, including participant guides, schedules, reports, and communications. Coordinate administrative processes and ensure accurate record keeping. Assist with event communications before, during, and after events.
Coordinate all logistical aspects of events, including venue requirements, registration services, accommodations, transportation, catering, and technical services. Collaborate with suppliers and service providers to ensure seamless event operations. Support on-site event execution and ensure all operational requirements are met.
Participate in the selection and evaluation of vendors and event partners.
Negotiate pricing and service agreements to maximize value and quality. Monitor supplier performance and ensure compliance with contractual commitments.
Respond to inquiries and provide exceptional customer service throughout the event lifecycle. On-Site Event Execution Coordinate event setup, event-day operations, and dismantling activities. Serve as a key point of contact for stakeholders during live events.
Contribute ideas and recommendations to enhance event quality and attendee engagement. Diploma or degree in Event Management, Communications, Marketing, Public Relations, or a related field. ~2 to 5 years of experience in event coordination, event management, or a similar role. ~ Experience supporting corporate events, conferences, trade shows, or large-scale gatherings is considered an asset. Demonstrated customer service excellence and relationship-building capabilities.
Proficiency with Microsoft Office Suite.
Experience with event registration and event management platforms is an asset. Fully bilingual in French and English, both spoken and written. Gestion des fournisseurs Assurer le respect des engagements et des standards de qualité établis. Assurer une expérience client positive à toutes les étapes du parcours événementiel. Répondre aux demandes d'information et offrir un service à la clientèle de grande qualité.
Contribuer à l'amélioration continue des processus et de l'expérience événementielle.
Compétences et qualités recherchées Aptitude à gérer plusieurs projets simultanément dans des délais serrés. Sens du service client et souci constant de la qualité. Maîtrise de la suite Microsoft Office. Maîtrise du français et de l'anglais, tant à l'oral qu'à l'écrit.
