Job Overview
About the Role
We are seeking a detail-oriented and dependable Construction Administrative Assistant to join our team. In this role, you will provide critical support to Project Managers, Estimators and field staff, ensuring project documentation, subcontractor coordination and office logistics remain organized and on schedule.
Key Responsibilities
- Project Documentation Management: Process, track, and archive key construction documents, including Requests for Information (RFIs), Submittals, Change Orders and daily site logs.
- Subcontractor &
- Vendor Coordination:
Collect and verify insurance certificates (COIs), licensing, insurance, and safety compliance documentation before site work begins.
- Permitting &
- Plan Tracking:
Assist with electrical permit applications, plan check submittals, and maintaining up-to-date drawings and spec sets in the project repository.
- Costing &
- Expense Tracking:
Review and input material orders, match purchase orders to job costs, and support basic job-cost accounting and invoice routing.
- Field &
- Office Communication:
Serve as the central communication hub between site personnel, clients, subcontractors, and consultants.
- General Office Logistics: Manage field office supplies, handle incoming mail and deliveries,
organize safety training materials, and schedule project meetings.
Qualifications &
- Requirements
- Education: High school diploma required; coursework or certification in Construction Management, Business Administration, or related fields is a plus.
- Experience: 1–3 years of administrative experience, preferably within construction, general contracting, engineering, or trades.
- Software Skills: Proficiency with Microsoft Office / Google Workspace;
experience with construction management platforms (e.g., Procore, Quickbooks, SiteDocs) or basic job-costing software is strongly preferred.
- Industry Knowledge: Basic understanding of construction terminology, plan reading, lien releases and compliance documents.
- Skills: Excellent communication skills, strong organizational abilities and a high level of comfort multi-tasking in a fast-paced environment.

Pay: $22.00-$26.00 per hour
