Location: Toronto, ON – Head Office Type: Full-time, 8-month contract, 5 days per week in office Enwave is looking for an Executive Assistant for an 8-month contract who can bring structure to busy schedules, stay ahead of changing priorities, and keep our leaders and teams moving forward. Reporting to the Manager, Employee Engagement & Experience, you’ll provide high-level administrative support to designated Leadership Team members while supporting Board and leadership meetings, offsites, employee events, and internal communications. You’ll help the leaders and teams behind that work stay connected, organized, and focused. You’ll manage complex calendars, travel arrangements, itineraries, expenses, executive documents, presentations, correspondence, and meeting materials. You’ll anticipate scheduling conflicts, adapt to changing priorities, track deadlines and follow-ups, conduct focused research, and serve as a professional point of contact for internal and external stakeholder. You’ll coordinate Board, committee, executive, and leadership meetings, including scheduling, logistics, catering, materials, correspondence, and distribution lists. You’ll also work with governance partners and support executive and leadership offsites, Town Halls, corporate events, and other organizational activities. Experience on internal communications, including coordinating the Employee Newsletter, gathering approved content, working with contributors, formatting materials, managing timelines, and supporting other employee communications and engagement initiatives. Proven executive administration experience supporting senior leaders and/or Leadership Team members. Solid experience managing complex calendars,
travel, expenses, meetings, and competing priorities. Strong proficiency in Microsoft Outlook, Word, PowerPoint, and Excel.
Experience preparing executive-level presentations, reports, meeting materials, and correspondence.
Experience coordinating Board, governance, executive, or senior leadership meetings is an asset.
Experience supporting leadership meetings, offsites, corporate events, and employee engagement initiatives.
Experience supporting internal communications or employee newsletters is an asset.
