Under limited supervision, this position will provide accurate, high level, confidential, administrative and management support to the Deputy and Assistant Commissioner’s Offices (1 deputy and 4 assistant commissioners) and the Executive Leadership Team which consists of (including but not limited to): Chief Financial Officer (CFO), Chief Operating Officer (COO), Equity and Engagement Director, Chief General Counsel, Tribal Relations Director, Chief Compliance Officer and more. The incumbent will serve as a point of contact for both external constituents and internal employees on a variety of agency matters. This position will support multiple leaders on the Executive Leadership Team.
In order to meet the operational requirements of the job, this position is required to use and access labor relations information in accordance with Minnesota Statute 179.03 and as that term is defined in section 13.37, subdivision 1, paragraph (c). This position is privy to confidential and protected information related to shutdowns, strike planning, and threats to both the agency and its employees.
Responsibilities Include
Provides an array of professional executive and administrative assistance to manage the daily operations, communications, transactions, and schedule of assigned executive leaders while
Provide administrative support to assigned executive leaders’ administration and/or divisions to facilitate the efficient operations as needed and assigned.
Carry out special assignments and projects so that issues of priority to the agency are given prompt and complete attention. Projects include administrative support and coordination, research, compiling materials from different programs and services across the agency, knowing how to navigate the agency and its leaders, responding to diverse audiences.
Triage, manage, and prepare/compose correspondence for the assigned executive leaders and their executive teams.
Build responsive culture, checking back and reporting to assigned executive leaders with accountability across their leadership team.
Coordinate and maintain the authorized signature process for the division.
Anticipate and address potential complications or barriers and elevate as needed.

Organizational skills sufficient to maintain high volume calendaring for multiple executives.
Communications sufficient to draft, write, review and edit correspondence and other materials using correct spelling, punctuation, grammar, and sentence construction.
Customer services skills sufficient to maintain effective working relationships within an organization with multiple programs, executives, legislators, the public, outside agencies and executive level offices as well as persons of diverse backgrounds.
Database management skills sufficient to us technology and business software including Microsoft (MS) Office Suite, SharePoint, multi-line phones, video conferencing, MS teams, Zoom and Webex.
Word processing skills sufficient to convert data into meaningful responses and reports.
Spreadsheet skills sufficient to convert data and create and maintain complex spreadsheets, graphs, reports and tables.
Preferred Qualifications
Experience providing high-level administrative support as an executive administrative assistant supporting multiple senior managers.
Experience supporting C-Suite executives (CEO, CFO, COO, or CIO).
Knowledge of state government and policies, particularly as it pertains to the administration and executive-level coordination and processes.
Experience working in a confidential setting and handling confidential and/or sensitive correspondence.
Experience coordinating travel processes.
Experience with handling requisitions.
Experience with web content management and accessibility.
Experience researching, analyzing and presenting data into meaningful responses and reports.
Experience in multi-tasking, organizing and prioritizing work, and meeting demands of workload with interruptions.
Variety of experiences working effectively with others from different backgrounds and cultures.
