MacKinnon Magnetics is a Canadian manufacturer of stock and custom dry-type transformers. As our business grows, we’re looking for an organized, detail-oriented Finance & Administration Coordinator to support our bookkeeping, accounts payable and receivable, payroll, cash flow, financial reporting, and day-to-day administration.
This is a hands-on role working closely with company leadership. The ideal candidate enjoys working with numbers, takes ownership of their responsibilities, and is comfortable supporting a variety of tasks in a growing manufacturing business.
Responsibilities
Bookkeeping & Accounting
- Maintain accurate, up-to-date financial records in our accounting and ERP system.
- Manage accounts payable, including reviewing supplier invoices, resolving discrepancies, and preparing payments for approval.
- Manage accounts receivable, including customer invoicing, payment tracking, account reconciliations, and follow-up on overdue balances.
- Calculate sales agency commissions and prepare payments according to agency agreements.
- Process payroll and maintain related records.
- Reconcile bank accounts, credit cards, and other general ledger accounts.
- Record and reconcile transactions in Canadian and U.S. dollars.
- Support month-end and year-end accounting, including preparing records for our external accountant.
- Assist with sales tax reconciliations and filings in coordination with our external accountant.
- Review employee expense submissions and prepare reimbursements.
Cash Flow, Reporting & Analysis
- Monitor cash balances, upcoming payments, and expected customer receipts.
- Prepare and update cash flow forecasts to support payment planning.
- Produce regular reports on sales, expenses, receivables, payables, and cash flow.
- Analyze financial and operational data to identify trends, discrepancies, and opportunities for improvement.
- Develop useful spreadsheets, reports, and dashboards to help leadership make informed decisions.
Administration & Business Support
- Maintain organized financial records, business documents, and customer and supplier information.
- Assist with customer and supplier account setup, forms, and document requests.
- Support company leadership with correspondence, spreadsheets, recordkeeping, and administrative follow-up.
- Coordinate with internal team members, customers, suppliers, sales agencies, and external service providers.
- Help improve financial and administrative processes as the company grows.
- Assist with additional administrative tasks and special projects as needed.
Qualifications
- A college diploma or university degree in Accounting, or a related discipline with an accounting focus.
- Previous hands-on experience in bookkeeping, accounts payable, and accounts receivable is considered an asset.
- A strong understanding of accounting principles, reconciliations, and financial reporting.
- Proficiency in Microsoft Excel, including formulas, pivot tables, and data analysis is an asset.
- Experience using accounting software or an ERP system; Acumatica experience is an asset.
- Experience with payroll, Canadian and U.S. dollar transactions, and cash flow reporting is an asset.
- Strong organizational skills, accuracy, and attention to detail.
- Clear communication skills and the ability to follow up professionally.
- The ability to manage competing priorities, work independently, and handle confidential information with discretion.
- Manufacturing or inventory-related accounting experience is an asset.
