About the Role
We are seeking a highly organized, proactive, confident, and analytical Finance Operations Assistant to provide direct support to the Director of Finance across multiple professional services businesses in Canada and the United States.
This is a fast-paced, people-focused role combining executive support, finance operations, data analysis, and project coordination. The ideal candidate is highly proficient in Excel, understands financial and business data, communicates confidently with stakeholders, and takes initiative to keep priorities and projects moving forward.
The successful candidate should be able to understand the numbers, recognize what matters, and understand the business story behind the data.
This is not a traditional accounting role and does not require detailed AP, AR, or bookkeeping experience.
Key Responsibilities
Executive & Organizational Support
- Manage multiple calendars, meetings, appointments, and competing priorities.
- Monitor multiple inboxes and identify important, time-sensitive, or action-required communications for the Director.
- Organize and prioritize information rather than responding to emails on the Director's behalf.
- Identify action items, delegate follow-ups, and ensure tasks are completed.
- Prepare meeting materials, presentations, reports, and correspondence.
- Maintain organized files and confidential information.
- Build strong working relationships across the finance department and broader organization.
Finance Operations & Data Analysis
- Gather, organize, and consolidate financial and operational data from multiple companies and sources.
- Analyze financial information to identify trends, variances, inconsistencies, and areas requiring attention.
- Assist with revenue, profitability, expenses, budgeting, forecasting, and business performance analysis.
- Prepare financial reports, dashboards, presentations, and analytical summaries.
- Use Excel to organize, analyze, and present financial and business data.
- Connect information from different sources and translate it into clear, useful insights for the Director of Finance.
- Support M&A;, business planning, and other strategic initiatives.
- Assist with improving finance processes, reporting, and information flow.
The successful candidate should be able to understand the numbers, recognize what matters, and understand the business story behind the data. Project & Stakeholder Coordination
- Maintain project trackers, task lists, and deadlines for the Director of Finance.
- Coordinate finance and business projects across multiple companies and departments.
- Delegate and follow up on outstanding tasks and deliverables.
- Monitor key finance deadlines, including reporting, budgeting, audits, and other recurring activities.
- Communicate with employees, managers, accountants, auditors, lawyers, bankers, vendors, and other stakeholders.
- Identify delays or issues and escalate them appropriately.
Travel & Administrative Support
- Coordinate domestic and international business travel, including flights, hotels, transportation, and itineraries.
- Coordinate meetings across multiple offices and time zones.
- Manage travel changes, cancellations, and scheduling conflicts.
- Provide general executive and administrative support to the Director of Finance as required.
Qualifications & Experience
Required
- 2–3 years of experience in business analysis, financial analysis, finance operations, business operations, executive support, management reporting, or a similar role.
- Strong Excel and data analysis skills.
- Strong numerical and analytical abilities with an understanding of financial and business information.
- Ability to gather information from multiple sources, connect the dots, and identify key insights.
- Strong business acumen and curiosity.
- Excellent organization, prioritization, and follow-up skills.
- Confidence communicating with stakeholders at different levels.
- Ability to delegate, coordinate, and manage multiple priorities.
- Strong initiative, judgment, and problem-solving skills.
- Ability to handle confidential information with discretion.
- Comfortable working in a fast-paced and constantly changing environment.
Preferred
- Experience supporting a CFO, Director of Finance, VP Finance, or senior executive.
- Experience in financial analysis, FP&A;, management reporting, or business analysis.
- Experience with revenue, profitability, budgeting, forecasting, or business performance data.
- Experience with financial systems, reporting platforms, or ERP systems.
- Experience with M&A;, acquisitions, or financial due diligence.
- Experience working across multiple companies, departments, or locations.
- Professional services experience, particularly legal, accounting, wealth management, consulting, or private equity.
- Post-secondary education in Business, Finance, Accounting, Economics, Data Analytics, or a related field.
Important Scope of the Role This is not primarily an AP, AR, bookkeeping, or transactional accounting position.
The role focuses on executive support, financial and business analysis, data, finance operations, and project coordination.
