Employment Opportunity: Human Resources Coordinator

In this role, you will be the operational hub for recruitment, onboarding, employee documentation, routine employee support, HR workflow tracking, HRIS administration, and offboarding. You will help maintain accurate records, create a consistent employee experience, and improve practical HR processes that support Group23's continued growth.

Position Summary The Human Resources Coordinator is accountable for timely recruitment coordination, onboarding, employee documentation, routine employee service, workflow tracking, HRIS administration, and day-to-day HR coordination. The role ensures approved processes are followed; open work does not stall, and records remain complete, accurate, and appropriately maintained.
This position works independently within approved processes, collaborates closely with managers and the Chief Financial Officer, and escalates matters requiring interpretation or involving employee relations, legal, financial, privacy, or reputational risk.
Duties and Responsibilities
Recruitment & Candidate Coordination
- Create and post approved job advertisements and maintain applicant tracking.
- Screen resumes, complete pre-screen interviews, coordinate formal interviews, and communicate with candidates.
- Coordinate candidate rejections, verbal offers, and formal offer follow-up.
- Prepare standard offers using approved employment terms and job descriptions and obtain manager approvals and signatures.
- File completed recruitment and offer documentation in approved systems.
Onboarding, Changes & Employee Documentation
- Launch onboarding in the HRIS platform, issue welcome communication, track completion, and coordinate orientation and first-week activities.
- Confirm approved employment details are complete before payroll setup and follow up on missing information.
- Track 30-, 60-, and 90-day check-ins and follow up with managers as required.
- Coordinate creation and amendments, approvals, employee communication, SharePoint version control, and personnel filing.
- Receive approved change requests, prepare standard change letters, obtain digital signatures, communicate documents, and confirm payroll notification.
Offboarding & Lifecycle Completion
- Coordinate standard offboarding actions and communication from notice through employment closing.
- Launch offboarding in the HRIS platform and coordinate resignation acknowledgements, final documentation, system handoffs, and workflow closure.
- Facilitate standard exit interviews and summarize themes for leadership and department managers or leads.
- Escalate sensitive, complex, or risk-based matters to the Chief Financial Officer.
Employee Service, Programs & Communication
- Act as the first point of contact for routine employee questions and escalate matters requiring interpretation or involving serious concerns.
- Support managers with routine coaching-process coordination and documentation follow-up.
- Coordinate the staff satisfaction survey, performance review cycle, meeting logistics, and follow-up actions.
- Support benefits administration through employee communication, documentation, enrolment information, and approved changes, coordinating with payroll as required.
Workflow, Records & Continuous Improvement
- Maintain accurate recruitment, onboarding, change, and offboarding trackers and ensure open work does not stall.
- Maintain approved SharePoint and HRIS records within assigned workflows and follow naming and retention standards.
- Prepare HR meeting notes, recurring reports, metrics inputs, and project tracking updates.
- Identify process gaps, document standard operating procedures, and support workflow improvements that create capacity for Group23's growth.

- Alberta employment standards, privacy and confidentiality requirements, and records management practices.
- Employee lifecycle processes, including recruitment, onboarding,
employee changes, performance management, and offboarding.
- Recruitment workflows, offer documentation, HRIS records, document control, and routine employee-service practices.
Skills
- Skilled candidate and employee communication, interviewing, and interpersonal skills.
- Strong planning, organization, attention to detail, document preparation, and follow-through.
- Accurate data entry, file management, workflow tracking, and KPI support.
- Proficiency with Microsoft SharePoint, Teams, Outlook, Word, Excel, Adobe, and HRIS platforms.
Abilities
- Maintain confidentiality and handle sensitive information professionally.
- Manage multiple deadlines, complete detailed work accurately, and escalate exceptions promptly.
- Work independently within approved processes while collaborating closely with managers and the Chief Financial Officer.
- Learn new systems and processes quickly and contribute to practical workflow improvements.
- Provide consistent, respectful service to employees and candidates.
Qualifications
- Post-secondary certificate or diploma in Human Resources, Business Administration, or a related field. A combination of education and directly relevant experience may be considered.
- Two or more years of HR coordination, recruitment, or HR administration experience is preferred.
- Training or practical experience in full-cycle recruitment, HR documentation, privacy, and records management.
- Experience managing confidential employee records, multiple deadlines, and end-to-end workflow follow-up.
- Experience with HRIS platforms and Microsoft 365. Rise experience is an asset.
- CPHR or Registered Professional Recruiter candidacy is considered an asset.
- Police Information Check required upon hire and as requested.
