Position Title: Clinic Manager Job Class: Full Time WELL's mission is to tech-enable healthcare providers. We do this by developing the best technologies, services, and support available, which ensures healthcare providers are empowered to positively impact patient outcomes. WELL's comprehensive healthcare and digital platform includes extensive front and back-office management software applications that help physicians run and secure their practices.
WELL's solutions enable more than 42,000 healthcare providers between the US and Canada and power the largest owned and operated healthcare ecosystem in Canada with more than 220 clinics supporting primary care, specialized care, and diagnostic services. In the United States WELL's solutions are focused on specialized markets such as the gastrointestinal market, women's health, primary care, and mental health. We are looking for a highly capable and motivated Clinic Manager who combines leadership and operational management with front-line administrative and nursing support.
This unique role is ideal for someone with a clinical background (e.g., as an MOA or nurse) who is ready to take on broader responsibilities, including managing clinic performance, leading a team, and ensuring a high standard of care and service delivery.
Clinic Management
Oversee daily clinic operations, patient flow, staffing, and room allocation. Monitor clinic expenses, staffing ratios, inventory, and operational KPIs. Maintain a clean, safe, and welcoming clinic environment.
Ensure WELL policies and regulatory requirements are followed. Recruit, onboard, schedule, coach, and support clinic staff. Manage attendance, vacation requests, timecards, and coverage. Promote cross-training, accountability, and team engagement.
Support performance management and address staff concerns. Support EMR access, billing setup, supplies, and clinic workflows. Act as the main contact between physicians, staff, and corporate teams. Maintain a positive and patient-focused clinic experience.
Oversee accurate and timely OHIP and private billing. Monitor rejected claims, accounts receivable, and payment reconciliation. Track clinic performance and prepare operational reports. Facilities & IT Manage clinic supplies, equipment, and exam-room readiness.
Report and follow up on EMR, phone, printer, and other IT issues. Support recent systems and clinic improvement projects. Maintain privacy, IPAC, health and safety, and College requirements. Administrative (MOA) Support Answer phones, greet and check in patients, and schedule appointments.
Collect payments and support OHIP and private billing. Healthcare administration or clinic management experience. Knowledge of Ontario primary care, OHIP billing, privacy, and compliance.
Experience working in a Family Health Organization (FHO) clinic is an asset. Comfort with EMRs, including Accuro, and Microsoft Office. A commitment to building a positive and inclusive clinic culture.
