About BreastCare Imaging
BreastCare Imaging is a dedicated breast ultrasound screening clinic focused on providing women with access to specialized breast imaging in a professional, compassionate, and patient-centred workplace.
We are seeking an experienced Medical Office Assistant / Booking Clerk to join our growing team. This is an important front-facing position within our clinic, responsible for ensuring that patients receive an exceptional experience from their first phone call through to their appointment.
Position Overview The successful candidate will be organized, professional, personable, and confident working in a healthcare environment. You will be responsible for patient scheduling and communication, administrative coordination, and supporting the smooth day-to-day operation of the clinic.
This role is ideal for someone who takes pride in being highly organized, has excellent attention to detail, and understands the importance of discretion, empathy, and professionalism when working with patients.
Key Responsibilities
- Answer and manage incoming telephone calls and patient inquiries
- Schedule and coordinate patient appointments
- Manage online bookings and appointment changes
- Process and review physician/NP requisitions and patient documentation
- Complete patient registration and intake procedures
- Confirm appointments and communicate relevant appointment information
- Respond to patient inquiries by phone and email in a timely and professional manner
- Process payments and issue receipts
- Maintain accurate patient records and documentation
- Coordinate effectively with sonographers, radiologists, physicians, and other healthcare professionals
- Assist with clinic opening and closing procedures
- Maintain an organized, welcoming, and professional reception area
- Follow all privacy and confidentiality requirements
- Assist with general administrative duties as required
- Contribute to ongoing improvements in clinic workflow and patient experience
Qualifications & Experience
Required
- Previous experience as a Medical Office Assistant, Medical Receptionist, Booking Clerk, or in a similar healthcare administrative role
- Excellent verbal and written communication skills
- Robust organizational and time-management skills
- Exceptional attention to detail and accuracy
- Professional and compassionate communication style
- Ability to handle confidential and sensitive patient information appropriately
- Ability to multitask and prioritize effectively in a busy clinical environment
- Strong computer skills and ability to learn new software quickly
- Ability to work independently while also contributing positively to a small team
Assets:
- MOA certification or formal medical office administration training
- Experience working in a radiology or family practice clinic.
- Experience with medical scheduling systems or EMRs
- Experience with Jane/Oscar/documo
- Experience with PACS
- Familiarity with physician requisitions and imaging workflows

Compensation: Competitive and commensurate with experience
