Organization Description

Emery-Keelesdale Nurse Practitioner Led Clinic (EKNPLC) offers a model of primary health care in which Nurse Practitioners (NP) coordinate patient care within a collaborative and vibrant interdisciplinary team environment. As part of our commitment to a philosophy of Primary Health Care we emphasize connecting and coordinating services within the health care system to those from other sectors to address the broader social determinants of health. The clinic operates from both a main site and a satellite site to offer services to individuals living in the North York West community.

Position Summary The position is located at EKNPLC’s Islington Site (Main), located at 2972 Islington Avenue.

The Medical Secretary/Admin Support will support the primary care providers at the Emery-Keelesdale NPLC in the provision of primary health care, health promotion and disease prevention care through reliable, timely, professional and effective clerical support. The primary role is to provide direct and indirect contact with the patients registered with the Emery-Keelesdale NPLC and to liaise and provide clerical support to the interdisciplinary healthcare team. This position will report directly to the Executive Director and where needed the Clinical Director.

Summary of Responsibility and Duties The Medical Secretary will be responsible for:

- Scheduling patient appointments for new and follow up patients
- Booking tests and procedures and following up on results
- Maintenance of charts and ensuring completeness
- Validation of OHIP health cards
- Managing patient phone and email communication receiving, triaging, and responding to messages from patients and health care providers




- Retrieves release of information documents from patient charts in order to forward/receive information to/from other physicians, health care professionals and other relevant parties
- Maintains clinicians’ calendars and schedules in-clinic and Home-Visiting program
- Functions in a public relations role with both “walk-in” and telephone clients; provides timely, friendly and informative service
- Ensuring compliance with policies and procedures, legislation and best practices with the medical reception staff.
- Program reporting
- Manage (but not limited to): client relations, scheduling, communicating appointments to clients, faxes, specialist referrals, medical information requests etc.
- Protect general public and staff from potential infectious disease through infection control practices as per IPAC regulations
- Ability to deal with multiple requests, calls and prioritize work
- Ability to work in a team environment and work independently with minimal supervision
- Assess administrative work flow and provide feedback and make recommendations to the Executive Director
- Demonstrate a willingness to assist with the workload during vacation or absence of other clerical staff
- Duties as assigned by Executive Director or Interdisciplinary healthcare team

Physical Demands

- Physical collection and filing of documents, stocking of clinical suites, inventory
- Moderate: The position requires minimal physical effort and the workday comprises of roughly equal amounts of standing, sitting and walking, with frequent position changes.




- Travel may be required on occasion

Qualifications Diploma or certificate in Office/Business Administration or Medical Secretary program along with a minimum of 2 years’ experience in a medical office setting
- Excellent skills in communication, organization and information technology including proficiency in Electronic Medical Record (EMR) systems, Windows, Microsoft Office (Excel, Word) and internet searches with a minimum typing speed of 45wpm
- Demonstrated ability to work independently and in a team environment
- High degree of accuracy and attention to detail
- Ability to welcome change and manage it innovatively in a fast-paced, dynamic work environment
- Adhere to all policies and procedures of the Emery-Keelesdale NPLC
- Ability to work flexible work hours on occasion

Remuneration

Salary Scale: $22K-$22,270K annual + can opt in for group benefits plan + pension plan

Hours: Part-Time, 18.75 hours per week (one late evening and Fridays exempt)

Duration: Part-Time One (1) Year with possibility of extension
