Operations & Office Coordinator – Manufacturing

About the Position
Canoil Canada Ltd. is a Canadian manufacturer of industrial lubricants, greases, specialty fluids, and private-label products.
We are looking for a versatile, intelligent and highly organized Operations & Office Coordinator who is comfortable working across several different areas of a manufacturing business.
This is not a traditional office-only position.
The successful candidate will work between the office, manufacturing plant, warehouse and product testing/quality area, depending on the needs of the business.
One day may involve assisting with product testing or checking inventory. Another may involve preparing quality documentation, helping production personnel, supporting logistics or purchasing activities, or completing an operational project.
We are specifically looking for someone who enjoys this type of variety and is comfortable wearing different hats.

Responsibilities The successful candidate will provide support in several areas, including:
Operations and Manufacturing
- Assist production and warehouse personnel with operational tasks when required
- Support product sampling, identification, labeling and documentation
- Assist with inventory checks and material verification
- Help investigate inventory, production or documentation discrepancies
- Support plant organization and operational improvement projects
- Coordinate activities between the office and manufacturing floor
Product Testing and Quality
- Assist with routine lubricant and grease testing
- Prepare and organize product samples
- Record and maintain test results
- Assist with Certificates of Analysis and product documentation
- Maintain laboratory and quality records
- Support quality investigations and corrective actions
- Assist with SDS, specification and technical-document control
Office and Administrative Support
- Support different departments with operational and administrative tasks
- Enter and verify information in company systems
- Prepare spreadsheets, reports and documentation
- Maintain organized digital records
- Assist with customer and supplier documentation requests
- Provide support to logistics and purchasing activities as needed
- Use AI and other digital tools to improve productivity and reduce repetitive work
- Participate in short-term projects and continuous-improvement activities

- Is comfortable using computers, spreadsheets and contemporary digital tools
- Is interested in learning how different parts of a manufacturing company operate
Preferred Experience Experience in any combination of the following would be an asset:
- Manufacturing
- Chemical or lubricant industry
- Laboratory or product testing
- Quality control or quality assurance
- Inventory management
- Production administration
- General operations coordination
Education in chemistry, chemical technology, engineering technology, supply chain, business operations or a related field would be an asset. However, we place significant value on practical ability, intelligence, adaptability, organization and willingness to learn.
Work Environment The position requires working in both office and manufacturing environments.
The successful candidate must be comfortable:
- Walking throughout a manufacturing facility
- Working around industrial equipment
- Handling product samples and containers
- Wearing appropriate personal protective equipment
- Moving between office, warehouse, production and testing areas during the workday
