Help us keep KORR moving.
KORR Performance & Psychotherapy is growing, and we are looking for a highly organized, proactive and people-focused Operations & Client Coordinator to become an important part of our team.
This role is designed for someone who can take ownership of the administrative and operational details that keep a growing psychotherapy and performance practice running smoothly.
You will work closely with the owner and clinical team to make sure clients are supported, schedules stay organized, communication is handled quickly, supplies and systems are maintained, and the day-to-day details don't fall through the cracks.
This is not a traditional receptionist role.
We are looking for someone who sees what needs to be done, takes initiative and gets it done.
WHAT YOU'LL DOClient & Scheduling Support
- Respond to client inquiries by phone, email and online platforms
- Help prospective clients understand KORR's services and next steps
- Coordinate consultations, appointments and scheduling
- Manage cancellations, rescheduling and appointment changes
- Support client onboarding and administrative paperwork
- Maintain accurate client and practice information
- Follow up on outstanding administrative items
- Help ensure clients have a smooth experience from first contact onward
Practice Administration
- Manage day-to-day administrative tasks for the practice
- Keep calendars, schedules and internal systems organized
- Assist with billing, invoices, payments and administrative records
- Help maintain accurate documentation and spreadsheets
- Order and track office supplies
- Help keep the Kingston office organized, stocked and professional
- Coordinate practical needs for the team and office
- Identify administrative problems before they become bigger problems
Team & Therapist Support
- Help therapists stay organized and supported
- Assist with onboarding current contractors/team members
- Coordinate documents, forms and administrative requirements
- Help maintain internal processes and checklists
- Communicate important information between the owner and team
- Help ensure everyone has what they need to do their job effectively
Marketing & Growth Support Depending on experience, you may also assist with:
- Google Business Profile updates
- Website content updates
- Social media scheduling and organization
- Basic Canva work
- Organizing marketing materials
- Email outreach and follow-up
- Community and professional outreach
- Tracking leads and marketing activity
- Supporting KORR workshops, presentations and events
You do not need to be an expert in all of these areas. What matters most is that you're comfortable learning, using technology and taking ownership.

ABOUT KORR
KORR Performance & Psychotherapy works at the intersection of mental health, performance and personal growth.
We support adolescents, athletes, high performers, first responders and adults navigating anxiety, stress, trauma, relationships, performance pressure and major life challenges.
Our approach is practical, evidence-informed and focused on helping people understand themselves, build skills and perform at their best.
We are also developing KORR NEXT, a youth performance and development program focused on helping teenagers build confidence, resilience, composure, capability and independence.
We are building something bigger than a traditional therapy practice.
We want people who want to be part of that growth.
WHAT YOU'LL BRING
- Previous experience in administration, office coordination, client services, healthcare administration or a similar role
- Strong organizational and time-management skills
- Excellent written and verbal communication
- Comfort working independently
- Strong computer skills
- Ability to manage confidential information professionally
- Ability to prioritize competing demands
- A willingness to learn new software and systems
- Professional judgment and discretion
- A genuine interest in helping people
Experience with Jane App, Google Workspace, Canva, WordPress, social media, bookkeeping, healthcare administration or marketing would be an asset. WHAT THIS ROLE IS NOT
This position is not simply answering phones and booking appointments.
We want someone who can gradually become the administrative engine of KORR.
The goal is for you to take ownership of more and more of the operational details so the clinical and leadership team can spend more time doing what they do best.
HOURS & COMPENSATION
Position: Part-time to start, with the potential to grow with the practice
Location: Kingston, Ontario — primarily in person
Hours: Flexible weekday schedule; hours to be discussed based on experience and availability
Compensation: Competitive and based on experience
There is potential for this position to grow as KORR continues to expand.
