Part-Time Senior Bookkeeper / Accounting Administrator
Marshall’s Home Living – Kelowna, BC
Part-Time | Approximately 40–50 hours per month
Compensation: $32–$40 per hour, depending on experience
Marshall’s Home Living is a locally owned fine furniture and home furnishings retailer serving clients throughout the Okanagan and Western Canada. We are looking for an experienced, highly organized part-time Senior Bookkeeper / Accounting Administrator to manage the day-to-day accounting function and provide administrative support to our purchasing and inventory processes.
This is an ideal position for an experienced bookkeeper, accounting technician, or former accounting manager/controller who is looking for a flexible part-time role of approximately 40–50 hours per month.
The successful candidate will be comfortable working independently, taking ownership of the accounting records, identifying discrepancies, and ensuring that our books and reconciliations are accurate and current.
Key Responsibilities: Accounting and Bookkeeping
- Manage accounts payable, including entering supplier invoices, reconciling supplier statements, and preparing payments.
- Complete bank and cash reconciliations.
- Reconcile credit cards and merchant processing accounts.
- Monitor accounts receivable and customer deposits.
- Record and reconcile supplier credits and adjustments.
- Prepare and post routine journal entries.
- Maintain accurate general ledger records.
- Assist with monthly accruals, prepaid expenses, and other month-end adjustments.
- Prepare monthly financial information for management.
- Maintain supporting schedules and reconciliations for balance sheet accounts.
- Assist the company’s external accountant with year-end working papers and information requests.
Government and Payroll Reporting
- Assist with payroll processing and payroll reconciliations.
- Prepare and submit payroll remittances.
- Prepare and file GST returns.
- Prepare and file BC PST returns.
- Assist with WorkSafeBC reporting and other required government remittances.
- Maintain appropriate records and supporting documentation for statutory filings.
Purchasing and Inventory Administration
- Create purchase orders for furniture, accessories, artwork, and other merchandise.
- Review supplier order confirmations against purchase orders.
- Assist with maintaining accurate purchasing records.
- Create and maintain item SKUs in our inventory/POS system.
- Enter and maintain product information including supplier, description, cost, retail price, freight, duty, foreign exchange factors, and other relevant product information.
- Assist with inventory corrections and reconciliation where required.
- Help identify discrepancies between purchase orders, received inventory, supplier invoices, and customer orders.
Month-End and Internal Controls
- Complete a consistent monthly accounting close process.
- Maintain reconciliation schedules and supporting documentation.
- Identify unusual transactions, discrepancies, or accounting issues and bring them to management’s attention.
- Help develop efficient procedures and internal controls around accounting, purchasing, inventory, and cash handling.
- Maintain organized electronic accounting records.
Qualifications The ideal candidate will have:
- At least 5 years of bookkeeping or accounting experience.
- Strong knowledge of accounts payable, bank reconciliation, payroll, GST/PST, and month-end accounting.
- Experience independently maintaining the accounting records of a small or mid-sized business.
- Experience with inventory-based, retail, wholesale, distribution, or manufacturing businesses is strongly preferred.
- Strong Excel skills.
- Experience working with accounting, ERP, inventory, or point-of-sale systems.
- Excellent attention to detail and a strong ability to identify discrepancies.
- The ability to work independently and take ownership of deadlines and recurring accounting responsibilities.
- Good communication and organizational skills.
Experience with Windward System Five / Windward Software would be an asset but is not required. Training can be provided to a strong candidate with relevant accounting and inventory experience. A bookkeeping designation, accounting diploma, CPA coursework, or equivalent experience would be an asset.
Hours and Work Arrangement
This is a permanent part time position requiring approximately 40–50 hours per month, generally equivalent to 10–12 hours per week.
There is flexibility in how the hours are scheduled, although certain accounting and reporting responsibilities must be completed according to monthly deadlines.
The position will primarily be based at our Kelowna location. Some flexibility may be available once the successful candidate is fully familiar with our systems and processes.
Compensation
$32–$40 per hour, depending on experience and qualifications.
We are more interested in finding an experienced, capable individual who can independently manage the function than simply finding the lowest-cost candidate.
